Operations & Contracts Coordinator

We are seeking an Operations & Contracts Coordinator, to join a multi award-winning landscape company, creating high quality gardens & landscapes in and around London and Surrey.
As an Operations and Contracts Coordinator, you will have access to our client's prestigious portfolio of high-end gardens, in both private domestic and commercial sites in and around Surrey and West London.
You will be an integral part of a small but busyprojects team, helping with the day-to-day running of the contract's management, procurement & administration.
Tasks include:
- Reviewing tendered documents to ascertain subcontractor and material requirements.
- Liaise with Contracts Director and Site Foreman to ensure subcontractors and long lead materials are place in time. (Builders Supplies are done directly by the Foreman.
- Check measures and quants using electronic software to ensure client BOQ or Estimator's quantities are appropriate for the works.
- Research new products, check bespoke design works to insure it meets the client briefs prior to placing orders.
- Assisting the Contracts Director in completing programmes using CS Project (training will be provided)
- Raising purchase orders using accounts software (Eque2)
- Monitor actual costs vs estimated costs and do reports to highlight variances.
- Negotiating best price before ordering high value items / subcontractors
- General administration, setting up project files after a project is awarded. Make sure latest drawings are printed and sent to site for construction.
- Assisting the Contracts Director and Foremen by helping with completion of valuations at the end of each month as well as seeking quotation for extra works
- Keeping files up to date (both on server and hard copy)
The Person:
- Excellent communication to all levels of staff, management, suppliers, and clients
- Knowledge of landscape elements & materials
- Essential
- Should have experience of an administrative environment & working as part of a team.
- Ability to multitask & highly organised.
- Extremely organised and able to work to deadlines.
- IT literate
- Microsoft office 365 including Excel (spreadsheets), and Cubit.
- Knowledge of Sage or Eque2 an advantage
- Good plant / horticulture knowledge
