Description

Morgan McKinley are actively working with a leading UK charity to help recruit a new Operations Manager & Executive Assistant.

This role provides critical operational and Executive Assistant support to the CEO, Deputy CEO (DCEO),
Chair, and the Board of Trustees, so that they can lead and represent the organisation to ensure that it
achieve its cultural relations purpose.

The role involves working closely with the rest of the CEO and Chair's Office (CCO) as well as colleagues
in teams right across the organisation to ensure CCO operations run with maximum efficiency and to a
high quality.


Executive Assistant Support

  • Deploy a range of systems/technologies/approaches to support the provision of high quality services and advice, including:
  • Managing multiple complex diaries and commitments for the CEO, DCEO, Chair and trustees, to ensure their time is appropriately prioritised and well-managed.
  • Arranging meetings with senior external stakeholders/ internal colleagues, including booking rooms, arranging/providing catering/IT support, collecting guests etc.
  • Ensuring CEO, DCEO, Chair and trustees have full information (including all logistics, travel arrangement details etc), briefing and speaking notes for all events and meetings
  • Managing logistics for overseas engagement and travel for the CEO, DCEO, Chair and trustees, including researching, preparing and printing travel pack.
  • Managing CEO, DCEO, Chair and trustee correspondence.

Operations


  • Manage general CCO operations, working with others to ensure administrative and governance processes are undertaken to a high quality, including the approval of contracts and indemnities where required, and the induction of new Board members.
  • Assist with external and internal communications, including updating information on internal and external websites.
  • Records management: ensure correspondence and documentation is filed, archived or deleted/shredded as appropriate, and stakeholder engagement records and tracking of meetings are overseen and updated on relevant systems.
  • Participate as part of a team to support implementation of corporate change projects with specialist teams (e.g. records and archiving project with Information Governance team)
