Job Role

  • Create, update, and maintain an efficient document / data control management system to ensure proper storage, categorisation, version control, and access to documents.
  • Develop and implement document / data control procedures, processes, including naming conventions, document templates, approval workflows, and document retention policies.
  • Coordinate the distribution of documents to relevant stakeholders, ensuring timely and accurate dissemination of information.
  • Monitor, analyse and track document / data progress, including review cycles, approvals, and signoffs, and ensure adherence to timelines.
  • Maintain accurate records of all documents, including metadata, revisions, and archiving information.
  • In conjunction with ICT, facilitate the retrieval of documents as and when required by authorised personnel, ensuring their accessibility and availability.
  • Conduct regular audits and reviews to ensure compliance with document control procedures and quality standards including ISO 9001 and 2700
  • Collaborate with project teams, departments, and external stakeholders to gather, organise, and distribute relevant documents.
  • Assist in training and support to staff members on document control procedures, software tools, and best practices.
  • Identify areas for improvement within the document control process to increase efficiency and effectiveness.
