About Billigence:


About the role:


We are looking for a versatile Office and Sales Administrator who will help the sales team with the administrative work on projects, and who will cooperate within other internal departments such as Finance, HR and Delivery teams.


What you'll do:


  • You will track purchase orders of all projects, monitor the budget, and prepare inputs for invoicing.
  • Liaise with Finance team and ensure all key information is available.
  • You will oversee and QA updating our consultants' profiles.
  • You will cover the contract management of our consultants in cooperation with our HR department; monitoring of contracts and their deadlines and extensions.
  • You will be in charge of reviewing consultants' timesheets against purchase orders & projects set up and the data correctness check.
  • You will take care of the license renewal agenda and ensure all customer licensing contracts are tracked and the information available for sales team to proactively manage successful renewals; updating of contracts based on inputs from Account Managers, its tracking in CRM and communicating with vendors when applicable.
  • Maintaining membership to frameworks such as G Cloud/Achilles.
  • You will work with some internally used platforms such as Hubspot, Avaza & Timepro.
  • Fire Marshal, First Aid and Health and Safety officer responsibilities.
  • Coordinating the management of company equipment such as laptops and phones.
  • Supporting the team with travel arrangements, accommodation and travel bookings.
  • Monitoring office stationery and kitchen supplies, placing orders/purchasing these as needed.

What you'll need:


  • Great organizational skills, time management and prioritization skills.
  • Very good communication skills, capable of talking to people across different business functions as well as levels of the company.
  • Focus on detail and deadlines.
  • Flexibility during the month; deadlines are especially tight at the beginning and end of months.
  • Be able to have a full ownership of the agenda mentioned above.
  • Handson approach and proactivity.
