Owned by the Scottish Government, Glasgow Prestwick Airport (GPA) directly employs over 250 people and supports over 4,000 jobs across the aerospace cluster. Situated in the heart of Scotland's aerospace industry we offer a diverse range of in-house aviation services providing vital connections to the rest of the world.

As we continue to focus on our business growth strategy, we are expanding our Human Resources (HR) team and have exiting new opportunities for motivated and driven HR Administrators to join us.

The vacancies are full-time, onsite (office based), 40 hours per week and offer the chance to develop in a varied and fast paced environment. The roles also cover out of hours drugs & alcohol testing, requiring being part of a 24/7 shared on-call roster (1 in 5 / 6 weeks), for which additional pay is offered.

Job Scope:


Reporting to HR Management you will be responsible for providing administrative support to the HR team and all other internal and external stakeholders, ensuring an effective, efficient and aviation industry compliant customer service.


Key Duties and Responsibilities:


  • Coordinate and manage all preemployment vetting and reference process.
  • Support with processing / renewing Airport Identity Cards in the capacity of a registered Authorised Signatory.
  • Conduct preemployment facetoface security interviews to ensure aviation security requirements.
  • Coordinate and support new starter and leaver processes, including the issue of offers, contractual paperwork, employee inductions and ongoing employee life cycle.
  • Support with internal and external regulated audit and preparation processes, always ensuring compliance.
  • Process employee data on HR systems to provide accurate information.
  • Update information on GPA's intranet and internet, liaising with the communications and marketing department as required.
  • Administration / processing of all employee absences.
  • Administration of New Starter Health Assessments and all required employee medicals via our external occupational health provider, liaising with the HR Advisor to follow up as necessary.
  • Support and coordinate all training, learning, development, and engagement activities.
  • Manage and update various employee related training systems.
  • Produce and distribute minutes and papers for HR related meetings / committees e.g., HR Liaison Group with employee and union representatives.
  • Support line managers with minute taking at HR related meetings e.g., disciplinaries, grievances and interviews.
  • Provide guidance on core HR related processes and policies.
  • Undertake relevant Drugs and Alcohol (D&A) related training and administer D&A tests this requires being on an out of hours oncall roster.

Qualifications:


  • Educated to at least SQA Higher level (or equivalent), ideally with English, Administration and / or Business Management.
  • CIPD or desire to work towards (desirable).

Experience:


  • Previous HR or administrative experience.
  • Understanding of HR administrative processes (desirable).
  • Previous experience in a fastpaced work environment.
  • Experience of working within aviation/logistics/manufacturing or similar 24/7 operational environment experience (desirable).

Abilities, Skills & Knowledge:


  • Ability to work on own initiative & operate under pressure.
  • Able to take direction and delivery effectively and efficiently.
  • Ability to organise, prioritise and manage time / work effectively to meet deadlines.
  • Be flexible to changing priorities based on department and business needs.
  • Excellent written and verbal communication skills, with the ability to draft and adapt letters, answer, and respond to queries effectively.
  • Good IT skills to setup various meetings and training.
  • Excellent note / minute taking ability, with good attention to detail.
  • Demonstrate and manage discretion / confidentiality, which is fundamental to the role and the credibility of the HR department.
  • Strive for continuous improvement.
  • Show initiative and possess a "can do" attitude with a "problem identification solution proposal" approach.
