Job Summary:
This position is responsible for a wide variety of duties including preparation of documents and correspondence, mail, audio typing, filing, photocopying, administration, office operation and diary management.
The Legal Secretary is expected to use a high degree of self-management and initiative and to maintain a high level of confidentiality.
Primary Responsibilities:
- To attend clients/contacts in person and on the telephone and to provide such support in a professional and friendly manner in keeping with the Firm's standards for client care
- To maintain relevant client information including rates, billing procedures and keeping the team members informed.
- To request billing guides and draft bills and deal with interim billing as appropriate.
- To arrange meetings, seminars etc. where applicable and to take minutes.
- To prepare correspondence and legal documents through audio typing and word processing and to ensure a high quality of the documents, faxes and photocopies
- To open and close files.
- To prepare mail and enclosures for dispatch.
- To maintain and update the filing systems.
- To answer the telephones promptly, taking messages and following up where necessary.
- Controlling the diaries, organizing to do lists and flag up issues needing attention.
- Completing and submitting timesheets on time.
- To use initiative to progress files within the limits of his/her own ability.
- To provide guidance to trainee and temporary secretaries when required to do so.
- To undertake any specific training when required to do so and overall to have a responsibility towards selfdevelopment.
- To undertake departmental systems administration and third party reporting.
Qualifications
Education:
- GNVQ or A Levels or 25 years of experience
Experience:
- 25 years of related experience.
Soft Skills:
- Eager to learn
- Flexible and able to adapt to changing situations as needed
- Organized and detail orientated
- Excellent interpersonal, verbal and written communication skills
- Ability to multitask and work in a fastpaced environment under tight deadlines
