Administrator - up to £25k p.a. plus benefits - Carlisle


Our client, a fast growing and innovative business based in Carlisle, is looking for an Operations Administrator to join their team.

They're looking for someone who has good attention to detail and a positive outlook, and who can work closely with their operations team to help support plant maintenance operations and also with sourcing parts and operational procurement.


The role will be varied with time being split between supporting the Maintenance Coordinator with operational administration and covering engineer resource scheduling during absence, and also working as part of the Parts & Procurement team in developing supplier relations and ensuring items are being procured efficiently and cost-effectively.

Duties and responsibilities:


  • Booking and coordinating engineer visits using our computerised maintenance management system (CMMS), ensuring the appropriate workload is spread across the team, and data is recorded correctly
  • Liaising with the Operations department, both officebased staff and service engineers to ensure works are being delivered effectively
  • Data input to the CMMS system, such as new assets and spare part entry
  • Validation of work orders including corrective and followon work orders.
  • Creating and issuing Quotations ready for submittal
  • Standing in for the Plant Maintenance Coordinator when on leave, scheduling the Plant & Combustion service team in the CMMS system.
  • Creating and issuing Purchase Orders (POs), ensuring the PO register is up to date
  • Liaising with suppliers and external service providers to secure spares
  • Proactively looking for alternative suppliers to fulfil our requirements
  • Provide comprehensive updates on current lead times and availability

About you:

This role would suit someone who is organised and has a keen eye for detail.

The role will require careful time management, problem-solving skills, and thinking independently about how to effectively deliver multiple projects in parallel.


  • Working knowledge utilising Microsoft Excel
  • IT literacy skills, ideally with solid experience with CMMS/CAFM.
  • Must be able to find advice and solutions for operational queries and provide reliable information
  • Must possess strong organisational skills and an eye for detail
  • Must possess strong interpersonal skills
  • Good verbal and written communications skills are essential
  • Strong sense of ownership, urgency, and work ethic
  • Ability to learn and work in multiple systems simultaneously
