Are you actively seeking a new Legal Secretary Opportunity?

An exciting opportunity has arisen for an experienced Conveyancing Legal Secretary to join a Legal 500 firm and one of the largest legal practices in Warwickshire with multiple offices.


Requirements:


The successful Legal Secretary will possess proven secretarial and administrative skills including managing document production, with the ability to liaise with clients both in person and by telephone and have a strong background in Residential Property.

Youwill be a competent and confident audio typist and strong WPM. One-years' experience within a Residential Property team is essential.


Duties:


  • Well organised and be able to meet deadlines
  • Able to prioritise and make decisions on workload according to deadlines
  • Undertake general filing administration
  • Prepare registration documents and complete different checks and checks
  • Handle general secretarial duties
  • Fulltime, 37.5 hours (part time may be considered)

  • Job Purpose**:
  • To provide a full administrative and secretarial service within the department to ensure that the work is carried out in an expeditious manner and to meet the standards required by the Company.
  • To work in accordance with the Office Manual and to act at all times in an appropriate manner as an employee of a professional practice.

Key Responsibilities:


  • Undertake document preparation, typing, administration and secretarial work, following dictations from feeearners
  • Scanning post and allocating to fee earners electronically and onto physical files
  • Assist in maintaining client files
  • Providing Conveyancing quotes
  • Opening new files
  • To progress files through to postcompletion, file closing and progressing to archive
  • Dealing with client enquiries and queries over the telephone and in person, and providing updates to clients and estate agents
  • Update files on the Case Management System, maintain activities in case to ensure timely compliance with deadlines and required actions
  • Undertake general administrative tasks
  • Attend Department Meetings and Firm Wide Meetings
  • Undertake any reasonable instructions made by Directors, Heads of Department, Line Manager or Fee Earners within the limits of this Job Description

Skills and Experience:


  • Experience of working in an administrative role for a law firm would be desirable
  • Sound interpersonal and literacy skills
  • Excellent client care
  • Good organisation and administration skills with attention to detail
  • Ability to be a team player
  • Working knowledge of Microsoft Windows
  • Working knowledge of Case Management Systems would be desirable
  • Flexible attitude to work
  • A practical and commercial approach
  • Excellent time keeping and organisational skills
  • You may be required to work at the other offices of the Firm from time to time be as required by the management
