A permanent, part time (28 hours) office based Billing Ledger Supervisor role;

  • Working within Education and offering £33,000 FTE salary.

About Our Client:


Our client is a highly reputable Education Institution based close to Manchester City Centre, who have a long history of educating the brightest young people in the North West.

They offer a hugely diverse and vibrant programme of activities which encourage students to explore and develop new interests.

The key responsibilities of the Billing Ledger Supervisor would include, but may not be limited;

  • Termly fee bill runs
  • Processing and allocation of fee payments by bank transfer and cheques from parents
  • Administration of fee payments by direct debit (DD) including setting up new DD instructions, reconciling and submitting DD collections and following up any unpaid DD instalments or cancelled DD instructions
  • Setting up new pupil and billing accounts and amendments to existing accounts as necessary
  • Processing of leavers and any related refunds
  • Termly reconciliation of gross fees and fee adjustments
  • Liaison with Admissions Department to ensure timely and accurate fee billing
  • Monthly reconciliation of pupil numbers
  • Maintaining records of credit control communication, proposed follow up and action dates
  • Keeping uptodate with HMRC and DWP changes which may affect the bursary process
  • Processing fee ledger adjustments resulting from bursary assessments
  • Liaising with colleagues to ensure timely and accurate payment of travel grants and the allocation of free lunches for eligible bursary pupils
  • Processing other fee adjustments as necessary
  • Responsibility for the payment side of ParentPay, the online system used for payments for school trips, buses and lunches and the related credit control
  • Annual fee ledger processes, checks and reconciliations in preparation for the following academic year and the school's accounting year end
  • To carry out any other reasonable duties as requested by the Bursar or Finance Manager

The Successful Applicant:


  • Impeccable communication skills and the ability to liaise with various stakeholders, including colleagues and parents regarding their financial situations;
  • Empathy and understanding;
  • Significant experience in working in a fastpaced finance environment;
  • Experience with sales ledger/ credit control;
  • Ideally some form of line management experience;
  • Excellent attention to detail;
  • High levels of proficiency with the MS Office Suite including Word and Excel.
