We are currently seeking a Fleet Administrator Supervisor to support and enhance the efficiency of the Company's fleet management operations.


Reporting to the Transport & Logistics General Manager, you will oversee all fleet-related administrative tasks, including document management and system maintenance, to support the smooth and accurate functioning of the fleet.

Serving as the central contact for daily enquiries and ensuring processes are followed.

This role will be offered on a Hybrid basis, with at least 3 days in the office and 2 days from home.


Key Responsibilities:


  • Embed and promote a culture of health, safety and wellbeing across transport operations within the area, actively championing our Home Safe & Well strategy and reinforcing through effective leadership, engagement and consistency of communication to both company and owner drivers.
  • Maintain a comprehensive and meticulously organised data source of all fleetrelated documents and data.
  • Supervise the process for new vehicle purchases, accurately managing purchase orders and the associated paperwork. This role involves collaborating with suppliers, negotiating terms, and ensuring all necessary documents are in place, guaranteeing a smooth and costeffective acquisition of vehicles to meet the organisation's fleet needs.
  • Manage regular license checks for drivers and ensure compliance with legal requirements.
  • Oversee the endtoend process of purchase orders and invoicing within the context of fleet operations, where precision and attention to detail are paramount. This responsibility includes verifying the accuracy of each invoice, ensuring that all cost codes are correctly assigned, and crossreferencing them with established budget parameters to maintain financial accountability.
  • Act as the primary liaison with regulatory authorities, particularly the Traffic Commissioner, to maintain O' Licence compliance.
  • Manage and coordinate the documentation and compliance requirements for hire cars and temporary vehicles, ensuring that all relevant paperwork, permits, and insurances are in place and up to date.
  • Efficiently process vehicle dehires, sales, or terminations, overseeing the endtoend procedures for retiring fleet vehicles.
  • Ensure productive crossfunctional collaboration with various departments, including Finance, Transport Managers, Accounts Payable, and the broader organisation.
  • Monitor and report on fleetrelated Key Performance Indicators (KPIs) to identify areas for improvement.
  • Supervise the team to maintain realtime updates in all fleet management systems, ensuring accurate and current data to support efficient operations#
  • Manage and ensure the timely scheduling and execution of vehicle tax payments and renewals for the entire fleet, encompassing a wide range of vehicle types and categories
