We are looking to appoint an Empty Homes Coordinator on a permanent basis within our Maintenance team with a salary of £38,250


Overall Purpose of Job
To ensure that all empty properties are made ready to let in line with the targets set out.


To actively manage that trade colleagues involved in carrying out all repairs to our empty homes and ensuring that they meet all the targets in terms of timescales and standards.


Main Responsibilities

  • The management, through the Empty Homes supervisors, of trade colleagues undertaking the works in empty properties
  • To carry out effective contractor management of contractors undertaking works in our empty homes.
  • Arrange inspection of properties on termination and carry out initial inspection for works.
  • Liaise with tenants regarding inspection and for pre termination works to be carried out.
  • Ensure all compliance documentation in relation to the property is in place, if not, arrange as required.
  • Define status of void and make appropriate and effective arrangements that leads to the quickest turnaround of the property.
  • Ensure all materials are available for teams to complete works as quickly as possible.
  • Develop process for materials on site pre works
  • Liaise with Area Managers/Operations Managers/Trade colleagues & contractors to ensure all works are completed within targets
  • Liaise with Lettings team regarding timescales and/or status of property.
  • Manage performance information in liaison with Property Services support Manager.

  • The responsibility for the communication to the teams and contractors regarding any changes to processes or systems defined by the post holder.

  • The ability to identify and put in place best practise and including developing and implementing working practises that deliver the expectations in relation to performance, quality & cost.
  • To develop and implement KPI's that improve and meet the targets of the service.
  • To ensure that full and effective utilisation of all computer systems related to the delivery of empty homes works is undertaken.
  • Ensuring the effective communication of objectives, targets and processes that delivers the outcomes of the Empty Homes teams.
  • Communication of information to a number of service areas in relation to the empty homes service particularly and with continual improvement in mind.

Contacts & Relationships

  • Frequent contact with sometimes 'dispersed staff' within the empty homes to determine the most effective ways of delivering empty homes turnaround targets.
  • Daily contact with tenants when arranging and carrying out pre termination inspections and the ability to communicate with those tenants regarding potentially contentious issues regarding standards and expectations in relation to leaving their home.
  • Daily contact with the Works Planners to determine resource deployment is being met effectively
  • Daily contact with Managers & teams across the Properties Directorate in order to communicate the decisions made on both general & complex issues relating to the service area and the requirements in terms of supporting the outcomes.
  • Daily contact with the contractors carrying out work in empty properties, to ensure all timescales are met and the required works completed to expected standards, and nonperformance is challenged effectively.
  • Regular contact with our materials suppliers to ensure all materials are available at the requested times and enable timescales for the property to be met.
  • Contact with Ongo compliance Officers to ensure all the applicable Health and Safety legislation is being met when properties become empty
  • Daily contact with the Lettings team regarding issues that may impact their day to day work in letting properties.
  • Regular contact with the Tenancy services team regarding contentious issues regarding condition of empty properties received by the Maintenance Service
  • Regular liaison with all utilities suppliers to ensure arrangements are in place that ensures the completion of all works in properties within timescales.
