Top 100 Law firm based in Birmingham see a Legal Administrator to support the healthcare team.


Core Duties will include:


  • Reviewing new NHS Resolution instructions to identify instruction type, key risk indicators, conflicts and additional information which needs to be considered when allocating/acknowledging. If any conflicts arise, liaise with supervising partners/Risk andCompliance Team to investigate further. Liaise with lawyers to confirm deemed service of proceedings, if required
  • Review allocation lists in order to allocate to appropriate lawyer and seek confirmation from lawyer that they can accept the instruction
  • Complete Member Instruction Forms for all Resolution Trust matters, requesting conflict check and attaching all relevant papers, and send to ARK team to open file
  • Manage mailboxes including Healthcare Div New Instructions, Healthcare Div Resource Coordinators, NHSR New Instructions and NHSRservice, and also act as point of contact for Damages Claims Portal, liaising with ARK and Legal Director when required
  • Prepare daily Legal Admin rota, allocating instructions and tasks to Admin Team members.
  • Add new instructions to Work Allocation spreadsheet and update when acknowledgments have been sent out to ensure we are acknowledging within 24 working hour SLA
  • Liaise with supervising partner/matter manager and accounts regarding any additional fee instructions. Liaise with Accounts if matter needs reopening/matter name change/Client code change or additional fee to be billed to NHS Resolution
  • Complete New Client/Matter Forms, ensuring NHS Resolution and Member Client Code spreadsheets are updated.
  • Update Work Allocation Kase Precedents, Work Allocation Guide, CRU assistant lists.
  • Prepare monthly Work Allocation Statistics for Healthcare Partners.

Legal Administrator Duties:

  • Deal accurately with efiling of documents
  • Operate the Firm's quality procedures and information security systems as specified in the current edition of the Quality Procedures
  • Ensure the confidentiality and security of all practice and client's documentation and/or information
  • Undertake electronic file closure and archiving when required and assist with locating closed files when required.
  • Follow correct procedures, instructions and protocols
  • Assist with postal distribution duties
  • Deal with administrative requirements in relation to files for all members of the team to include entering key data to case management systems contacts, court details/dates and tasks
  • Prepare for signature all correspondence and documentation in line with the New Instructions process
