Severn Arts is an ambitious, evolving cultural charity and we are seeking an efficient, organised, proactive and highly adaptable Business Support Assistant with a focus on IT, systems and administrative support to join our team.


Job purpose :
To provide effective business support for Severn Arts with a focus on Operations (IT, workshop and facilities).


General administrative support

  • To provide excellent customer service, ensuring that this remains a high priority at all times.
  • To input and process data with relevant information systems. In particular to input new and maintain existing information on the Severn Arts CRM system, ensuring appropriate notes are added and information is updated in a timely way.
  • To process requests made by schools, staff, parents and/or students in relation to music teaching, timetable changes and the provision of instruments.
  • To assist when necessary, the Severn Arts Finance team in pursuing the recovery of unpaid invoices, especially in relation to music tuition and instrument hire.
  • To provide administrative support to staff and departments across the organisation.

Operations administrative support

  • To process new instrument hires, replacements and collections and provide administrative support for the Instrument Hire Scheme and the workshop.
  • To assist with the maintenance and smooth running of the organisation's systems (both electronic and manual) including Severn Arts' CRM system and Sharepoint.
  • In conjunction with the IT support company, to ensure that IT systems, hardware and software are kept up to date.
  • To be the first point of contact for IT and digital issues, liaising with our IT support company for more complex issues as required.
  • To manage the allocation and updating of mobile and fixed line telephones according to business needs.
  • To process equipment requests from managers and to maintain an uptodate inventory for IT, phones and equipment issued to staff.
  • To produce, maintain and update templates and online forms.
  • To assist managers with the production of reports and management information as required.

Job Types:
Part-time, Permanent

Part-time hours: 28 per week


Salary:
£17,281.00 per year
