Administrative Assistant - Projects

KBR's global business comprises two main segments - Sustainable Technology Solutions (STS) and Government Solutions (GS). This role sits within STS in the Integrated Solutions business unit.

Integrated Solutions is the engineering and project delivery group providing services which include front-end and detailed engineering, procurement, construction services, and program management primarily in the hydrocarbons and energy transition industries.

KBR are looking for an Administrative Assistant who is able to organise & co-ordinate administration duties & office procedures. They must exhibit high levels of organisational effectiveness & communication to ensure the project runs smoothly.


Duties include:

Scheduling meetings & appointments

Organising travel

Organising catering

Maintaining office space & when necessary organising repairs

Organising the office layout & seating arrangements & when necessary organising office moves

Ordering stationery and IT equipment/software

Providing general support to visitors

Addressing employee queries (travel arrangements, hardware, stationery)

Assisting in the onboarding process for new starters

Events organisation - Conferences, project events, parties and dinners

Liaising with Campus services - catering, security, Real Estate Services

Compilation of reports & document formatting

Expenses

Raising Shopping Carts/Service Entries/Goods Receipts

Organising Visas

Providing support to both KBR & client personnel


Attributes Required:

Able to prioritise and work on your own initiative - able to manage time effectively.

Able to multi-task and not wilt under pressure - strong organisational & planning skills in a fast-paced environment.

Hard working & collaborative with an agile, can-do attitude.

Able to navigate issues & maintain a good balance.

Attention to detail & problem solving skills.

Excellent written & verbal communication skills.

Patience & discretion required to deal with all aspects of the role.

Flexible in working hours to fit with project needs


Software Experience:
Microsoft Word & Excel, PowerPoint, Adobe Acrobat, SAP, CONCUR, DocuSign
