The Division


The Governance and Risk (G&R) team is responsible for the development and maintenance of effective risk management and compliance standards at Capsticks.

We work closely with both legal and business service divisions through heads of division, directors of service and compliance champions across the firm's five offices to manage quality, embed risk management, compliance and continuous improvement to aid delivery of an excellent client experience.


The Role and Responsibilites


This is an entry level role in a busy Governance & Risk team responsible for the development and maintenance of effective governance, risk management, quality and legal and regulatory compliance at Capsticks.

The G&R team has seven members and is split into the Operations and Compliance and Quality teams.


This role is within our G&R Operations Team, reporting to our Governance & Risk Head of Operations and is a great opportunity to build a career in legal compliance.

The Governance & Risk Assistant's primary focus will be on data collection and management, logging incidents, updating spreadsheets and producing reports and assisting with information gathering for our information security accreditation.

There will be an opportunity to develop within the role to assist in dealing with routine risk and compliance questions.


On the job training will be given by the G&R team to enable skills to be obtained whilst carrying out tasks.


Main duties:


Data management

  • Assisting the Governance & Risk Head of Operations to manage information within the division and present it in an easily understandable way
  • Prepare reports for various committees which identify and monitor trends

Data protection & GDPR

  • Logging and tracking information security incidents and data breaches
  • Assisting with administrative tasks to support the Operations Team in preparing papers for the Information Security Management Committee and the Cyber Risks Security Committee

Complaints

  • Logging and tracking complaints to ensure responses and updates are provided in agreed timescales

Information barriers - conflicts/confidentiality

  • Setting up information barriers within the case management system and handling ad hoc file access requests

Training

  • Manage the compliance training platform and monitor the completion of the compulsory online training
  • Manage the Governance & Risk new joiner knowledge check reviews and ensure they are completed within a timely manner

Communications

  • Assist with sending out compliance communications to the firm and send out weekly communications

Accreditations

  • Assist with the organisation of external audits and take part in these as needed
  • Assist with the organising internal audit and monitoring the completion of corrective actions

Other duties

  • Assisting with logging queries received by the Operations Team, including conflict and antimoney laundering queries
  • Assisting with logging undertakings, improvements and other areas monitored by the Operations Team
  • Assisting with projects on an administrative basis

Skills & Experience

  • Excellent attention to detail
  • Previous administration experience in a busy environment
  • A willingness to share ideas and suggest improvements
  • Ability to be a team player
  • An interest in compliance and governance and risk issues.
  • A selfmotivated proactive approach and the ability to manage your own workload
  • Problem solving skills
  • Excellent organisationalskills
  • Advanced skills in Microsoft Excel (including use of formulae and pivot tables) and data manipulation
  • Can demonstrate relevant work experience
  • Previous experience within legal compliance would be useful, but not essential
