The role purpose:


The role purpose:

The Auckland Project has an exciting role for a Facilities Administrator that will help support the Technical Administrator.

The post holder will ensure that the department has exceptional administrative support, enabling the delivery of excellent customer service, value for money and adherence to compliance standards.


The facilities team are responsible for all properties within the Auckland Project these include unique and historical venues such as Auckland Castle, Spanish Gallery, Mining Art Gallery and the Auckland Tower among many others.


Whilst this is predominantly an administration role each day will be different and bring new challenges and opportunities to learn.

This will be a pivotal role to oversee the functional support within the team.


Context:


The Auckland Project is a continuously changing and evolving workplace, you would be working within a fast paced environment where priorities are changing and no two days are the same We work as one team, supporting each other, moving in the same direction towards a shared vision and purpose.

This will be a generalist role giving you vast experience and exposure to the many different roles associated with a running an attraction.

Given the sensitivity of the information you will be handling, you will need to remain professional and confidential at all times.


Key Responsibilities:

The post-holder is responsible for the following key deliverables and accountabilities:

  • Assisting with the management of compliance systems and paperwork
  • maintain compliance testing and maintenance databases and filing systems. Liaising with key colleagues, commission routine cyclical inspections
  • Supporting the administration team, including apprentices and volunteers
  • Liaising with tenants ensuring they receive excellent customer service including regular communications, coordinating maintenance and compliance testing
  • Generate regular reports against agreed KPI's
  • Maintain electronic and paper filing systems
  • Liaising with and maintaining positive stakeholder relationships
  • Setting up new suppliers and procuring goods and services ensuring value for money and undertaking necessary due diligence
  • Raising purchase orders
  • Organising and scheduling meetings
  • Minute taking
  • Help with facilities team tasks when required
  • Maintaining service help desk for the estate
  • Assist colleagues whenever necessary
  • General clerical tasks

Essential

Desirable

Qualifications
Minimum of 3 GCSEs at grade C or above (or equivalent) including Maths, English and IT

NVQ Level 3 Business Admin

NVQ Level 4 Business Admin


Experience
Minimum 3 years admin experience

Experience of working as part of a team

Experience of maintaining systems and databases

Experience of raising purchase orders

Previous experience in a property or facilities administration role

Interest in the Arts and Heritage sector

Reporting against KPI's

Contractor management experience including due diligence checks

Understanding of property based compliance standards

Asbestos Management - updating asbestos register

Basic construction knowledge

Volunteer and apprentice management.

Excellent attention to detail

IT skills - Microsoft packages, especially Excel and Outlook, experience of using property management systems

Ability to read and understand floorplans and specifications
