Part time post 15 hours Tuesday and Wednesday


We are looking for a self-motivated individual who is flexible and versatile in their approach to work to join our excellent and friendly admin team.

You must be able to work well under pressure and in challenging conditions. You will be a strong team player with good interpersonal skills who can work without close supervision. You will possess a positive attitude and be constructive toward change.

You must have excellent keyboard skills, adaptability, and a capacity for processing information quickly and accurately. You must also be willing to show a commitment to the ever-changing demands of the NHS.


The post involves constant communication with Patients, Radiographers, Radiologists, and other colleagues to maintain an efficient and smooth-running reception service.

You will need to be very organised, professional, and assertive.


You will be responsible for attending patients, booking patient appointments when working in an obstetric setting and discussing procedures and preparations, maintaining accurate data entry on the radiology computer system and patient administration system, answering and fielding phone calls from patients and staff, dealing with enquiries face to face from staff and patients and general reception duties.

The role of administrator/receptionist is to provide an efficient and high quality reception, appointment and administration service within the Imaging Department.


More specific the role purpose is to:

  • Provide reception service for patients on arrival in the Imaging Department.
  • Provide a clerical service to the Imaging Department.
  • Be responsible for the training of new staff.
  • Be responsible for day to day booking of appointments when working in an obstetric SCAN setting.
  • Assist in provision of an efficient imaging diagnostic service.


The receptionist/administrator will not only need to be able to work alone and use their own initiative but also as part of a large team of admin staff across the Imaging Department on all University Hospital Sussex East sites to deliver the highest standards of administrative support for patients and staff.

It may therefore be necessary to ask the post holder to work on another site when the service demands this.


The receptionist/administrator must ensure patients are accurately registered and processed on the Radiology Information System (CRIS) and Patient Administration System (Careflow) and have the ability to book and schedule appointments on CRIS.

The post holder must also be able to process all electronic orders received on the hospital referral system (Bamboo) and paper referrals.


Duties will also include typing or computer input, responding to telephone enquiries, use of office equipment such as photocopiers and the maintenance of physical and electronic records.


Skills required:

Clear speaking voice

Legible writing

Provide a high quality, responsive and efficient reception and appointment service

Excellent telephone manner with sound communication skills

Confident dealing with patients, solid customer service skills

Methodical and organised with the ability to prioritise workload

Demonstrate accuracy and attention to detail

Team Player

You should be educated to GCSE level or equivalent.

The Trust asks all staff to attend a one-day induction programme.

You will occasionally be required to travel to sites within Univers
