JOB SPECIFICATION
The role


Providing a Front of House service within reception, you will be playing an instrumental role in delivering excellent customer service to both internal and external clients.

Key responsibilities

Manage rotational shifts between 08:00 - 18:00; 8:00 - 16:30 & 9:30 - 18:00, ensuring seamless operations.

Handle incoming calls via a switchboard and direct them promptly and efficiently.

Extend professional, courteous, and warm greetings to clients and guests, setting a positive tone for their experience.

Demonstrate a bright and helpful telephone manner, addressing all inquiries and requests with promptness and efficiency.


Take charge of meeting room reservations via the Condeco booking system, including arrangements for video conferences, AV requirements, and hospitality catering.


Assist Executive Assistants with Condeco, managing employee additions and removals, reporting user issues, and providing system introductions to new hires.

Utilize Condeco daily to optimize meeting room usage and generate monthly reports detailing meeting metrics for managerial review.


Maintain regular communication with the Condeco account manager to ensure system compliance and explore new features to benefit the business.


Maintain and attend monthly meetings with Condeco account manager to ensure the system is used correctly/learn new features in order support the EA's and the business.

Administer staff passes via the Lenel system, including activation and deactivation, ensuring seamless access for employees.


Utilize Vicinitee for daily data entry to manage guest and overseas staff access to the building, reporting maintenance and other issues promptly.

Collaborate with the Facilities Manager and building maintenance for reporting and resolving maintenance, cleaning, and engineering faults.

Coordinate building work/maintenance permits and office floor deliveries through Vicinitee, ensuring smooth operations.

Engage in weekly catch-up meetings with the CREFM team to maintain strong communication and alignment.

Operate as central point for incoming and outgoing mail.

Liaise with service teams, including Savills building management, to expedite meeting arrangements and fulfill special requests.

Coordinate with recruitment agencies to arrange temporary Reception cover as needed.

Update the business on weekly visitors from other OMERS offices.

Manage and order business card requests.

Ordering office stationery

Ordering office weekly groceries

Other duties as assigned.

Key Skills

3-5 years of experience in a fast-paced corporate Reception environment.

Impeccable presentation and strong communication skills, with the ability to interact confidently with individuals at all organizational levels.

Demonstrated enthusiasm, creativity, and proactive problem-solving abilities in meeting business objectives.

Excellent organizational skills, with the ability to prioritize tasks effectively.

Proficient IT skills and a polished telephone manner.

First Aid and Fire Marshal qualifications.

Ability to work collaboratively as part of a team or independently with equal efficiency and effectiveness.
