The organisation


Elevated Minds CIC is a small, award-winning social enterprise that works with young people who are at risk of exclusion from the education system and society.

We provide 1:1 coaching, group coaching, workshops, training and facilitation within schools and educational establishments across London and Birmingham, and have worked with over 175 students since 2019.

We also deliver projects in collaboration with the Metropolitan Police Service.

Elevated Minds is embarking on an exciting growth journey and we're planning to double our size in the next year.

The role


As our delivery and team grow, we must develop our ability to manage competing strategic priorities and their demands on our time, and to communicate and collaborate effectively across a wider group of colleagues, Trustees and external stakeholders.

This requires a level of coordination, strategic time management, and internal communication which are central to the success of the organisation going forward - qualities which we hope you will help to foster and grow.


We are currently looking for an Executive Assistant with strong leadership skills who is enthusiastic, passionate and intrinsically motivated to make a difference in our community.

As the Executive Assistant, you will work closely with the CEO to develop a deep understanding of the organisation's strategic goals, how they interrelate, and the operational approaches designed to achieve them.

Through this understanding, you will support the CEO to manage their time, diary and inbox; ensure effective communication across the Elevated Minds team, and with external stakeholders; as well as personally delivering on ad hoc projects across the organisation as is required.

The position will report to the CEO.


Person Specification
Essential knowledge, experience and capacities
-
A minimum of 2 years in a similar position, and ideally 1 year in a charity / social enterprise / community business

Highly organised - You should be good at juggling multiple things at once, and be confident re-planning work so the highest priority objectives are reached by the right deadline. You should be strong at project managing others to complete work, and communicating proactively if timelines need to shift because an element of the sequence/action has not been completed.

Skilled relationship-builder - You should be confident and honest in building relationships: able to build open relationships with senior colleagues, and confident to give feedback if something isn't working or flag if things are going wrong - even and especially with people more senior than you.

Proactive and autonomous - You should be able to take high levels of ownership over your work, proactivelyanticipating problems that may arise, diagnosing need and changing course quickly; taking initiativewithin the role to ensure success.

Experience of diary-management for a C-level colleague.

Proficient with Microsoft Suite (including excel), advanced user of Dropbox, Gmail and G-calendar, Google Drive, Zoom, Canva, Mailchimp, and other office softwares.

Desired knowledge, experience and skills

Experience in start-up/charity sector/social enterprise - An understanding of the fast-paced nature of start-up, and/or how small socially driven organisations work

Experience in basic HR and governance - talent management, HR compliance, experience working with a board of Trustees

Experience in bookkeeping / budgeting / accounting
  • While we have an external accountant, we would appreciate you bring financial skills to better support the team.

Key Tasks Required of this Role
Strategic support for CEO & Directors
-
Manage CEO's diary and inbox on an ongoing basis to ensure her time continuously reflects current priorities, and responds to emerging needs.

Coordinate Trustees' meetings, supporting the creation of agendas, and helping to determine how questions and topics are prioritised across the year.

Play a strategic role in balancing competing priorities, to ensure that sufficient time is given by CEO to the organisation's objectives.

Support delivery of cross-organisational projects, focusing on topics such as team development; ways of working; culture and values.

Support Operations Manager in Financial reporting

  • Create, update and manage sponsor, client and employee paper and digital records, including contacting potential sponsors and funders.
External Communications

  • Creating weekly posts for our Instagram and LinkedIn channels

Networking and representing Elevated Minds in external events

Internal Communication & Collaboration
-
Own and maintain an accurate
organisational calendar (project delivery, team building, reviews, etc),
