Level 2 Business Administration Apprentice

The role of the Business Administration Apprentice is to provide a comprehensive, efficient and accurate administration support to the business, working with professionalism and agility in a dynamic and fast paced environment.


THE APPRENTICESHIP
General Induction > Generic Skills > Specific Skills > Work based Learning

  • Carry out general administration duties for the business.
  • Performing duties as required and directed by line management and providing administration support the Directors when required.
  • Operating as an initial port of call into the commercial departments ensuring efficient responses to calls into the departments, and fielding all queries to the appropriate team members to address/ manage as appropriate.
  • Maintain and respond to all administration queries within appropriate timescales.
  • Maintaining and updating dealer and supplier databases with contact information.
  • Distributing communications to external stakeholders
  • Collate paperwork for all lines of production on a weekly basis.
  • Management of travel arrangements for all employees in the business, including foreign travel.
  • Order stationery across the business.
  • Collate and issue KPI's on a weekly basis.
  • Coordination internally and externally of commercial activity relating to press, loan vans or direct sales.
  • Produce weekly planners for dealer and supplier activity.
  • Coordinate professional hospitality arrangements for visitors to the business.
  • Coordinate with Hub 64 around requirements for visitors.
  • Place and manage orders for corporate workwear.
  • Place purchase requisitions as and when required.
  • Distribute eye test vouchers as and when required.
  • Provide support for management of holiday and lieu days arrangements and time and attendance queries where required.
  • Inputting of repair bay working hours on weekly basis.
  • Maintaining suitable and safe levels of housekeeping at all times within the working environment, including systems housekeeping.
  • Actively supporting the TEAM SWIFT ethos by positively working with others.
  • Be familiar with, and adhere to, company policies and procedures.
  • Meet your health & safety responsibilities and cooperate with management to achieve a healthy and safe workplace, taking reasonable care of yourself and others.

SKILLS & QUALITIES


To be considered for the Apprenticeship Scheme you must be either a 2023 school leaver or aged between 16-19, have achieved grade 5 or above in English and Math, and successfully pass an assessment with our onsite Swift Academy.

  • Highly organised with excellent organisation and prioritisation skills.
  • Good attention to detail, and ability to proof read.
  • Able to handle confidential and sensitive information with integrity and discretion.
  • Ability to stay calm under pressure with a flexible approach and positive attitude.
  • Methodical and thorough approach to work.
  • A great team player.
  • A desire to show initiative.
  • Good IT skills, including Microsoft word, excel, and PowerPoint.
  • GCSE or equivalent in English and Maths.
