Main Purpose of Job:
The day to day management and operation of the Academy accounting system.
To support the Business & Finance Director and Finance Managers in all aspects of financial reporting, forecasting and regulatory requirements.
Main Responsibilities / Accountabilities:
- Assist the Finance department with monitoring the school budgets. To investigate anomalies/overspends and underspends and advise fund holders of balances, and corrective action that they might take.
- Assist with the preparation of yearend company accounts, prepare working sheets, identify accruals and prepayments, process journals, report on specific grant income/expenditure.
- To provide financial information as requested to finance dept colleagues and Senior Leadership staff
- To carry out budget planning and projection activities, as necessary.
- To process purchase orders, purchase invoices and pass this forward for signature/payment in accordance with established procedures.
- Prepare BACS payments as requested for further approval
- To process payroll journals and investigate salary anomalies.
- Reconciliation of bank accounts, control accounts and database systems.
- Raise sales invoices and keep records of chargeable costs/services.
- To maintain and monitor voluntary fund accounts; banking, transfers, reconciliations and yearend procedures.
- To proactively examine ways in which income can be generated for the school, or expenditure reduced by sourcing best value goods and services, and discuss these with the Business & Finance Director.
- To undertake the administration of school lettings (if applicable), including investigating ways of increasing income further, if required.
- Process credit card purchases, ensuring staff are compliant with policy and keep records of credit card expenditure.
- Preparation of VAT returns and other data collection tasks.
- To be responsible for the safe transport of monies to the designated bank, or other establishment, as required.
- To assist with information required to submit bids (for funding, school status etc.) using contributions from teachers and others.
- To undertake any necessary financial work as listed above on behalf of the subsidiary company.
Job Activities:
- To be responsible for ensuring finance policies are reviewed regularly and internal control systems are robust and up to date with changes in legislation.
- To file documents.
- To ensure that the finance post is opened and distributed at the start of the school day, and outgoing post is dispatched.
- To answer the telephone and, wherever possible, deal with the enquiry. Taking messages or passing on to other members of staff, as required.
- To act as personal assistant to the Business & Finance Director, and assisting with relevant matters.
- To take minutes of meetings if requested and arrange for their distribution.
