Working Hours:

From Middle February 2023 Part-time: 2.00 pm to 5.00 pm (25 Hours per Week)

Full time from September 2023 Starting 9.00 am pm (40 Hours a Week)
BASIC SKILLS REQUIREMENTS (including numeracy, literacy and English-speaking abilities:
Computer literate with excellent knowledge of Ms word, excel, PowerPoint and Publisher.

Excellent English language and numeracy skills

Good communication skills and telephone manner

Committed to accuracy and detail

MANAGEMENT RESPONSIBILITIES:


General responsibilities of the position include:

  • Administration of accounts
  • Reception and telephone answering
  • Ad hoc duties for Home Manager

DAY TO DAY DUTIES

Every working day:
a) Open office

b) Obtain information on any resident admissions/discharges from care staff

c) Financial assessment for Private Residents

d) Handling Petty Cash at the Care Home

e) Open the post and put it into other in-trays as necessary.

f) Update the resident's database

g) maintain good filing systems

h) Send the care home weekly report to Head Office on the first day of the new week.

i) Send daily Reports to the manager.


Monthly deadlines:
a) Approve Staff Rota every day on the Payroll Platform

b) Prepare monthly payroll details and send it to the finance team on Thursday preceding the last Friday of the month.

c) 23rd of each month send residents' expenses spreadsheet to Head Office.

d) Forward the petty cash spreadsheet to the head office.

e) Prepare the Credit card spreadsheet and send the credit card receipts and other documents to the Head office.

f) Upload monthly purchase invoices into HubDoc Software.

g) Post the purchase invoices and the cheques to the head office.

h) Forward the monthly quality management report to the Head Office.

i) support meetings, making sure they run smoothly and that minutes are kept.

j) Deal with mail, scanning, stationery, photocopying and any other office tasks.


Ad Hoc Tasks:
a) Follow up on all outstanding fees, standing orders, etc.

b) Produce labels and send out invitations, care plans etc to relatives

c) Order stationery and other items as required (including Groceries, equipment )

d) Complete government returns (excluding CQC)

e) Arrange copier and computer maintenance (both hardware and software)


  • Undertake other duties, as necessary.

Job Types:
Full-time, Part-time

Part-time hours: 25 per week


Salary:
From £11.00 per hour


Schedule:

  • 8 hour shift
  • Monday to Friday

Ability to commute/relocate:

  • Cambridge: reliably commute or plan to relocate before starting work (required)
