Head of Finance and Business
The Association for Medical Education in Europe (AMEE) is a worldwide organisation with members in 90 countries on five continents.
AMEE promotes international excellence in education in the healthcare professions across the continuum of undergraduate, postgraduate and continuing education.
AMEE, working with other organisations, supports teachers and institutions in their current educational activities and in the development of new approaches to curriculum planning, teaching and learning methods, assessment techniques and educational management, in response to advances in medicine, changes in healthcare delivery and patient demands and new educational thinking and techniques.
Key Responsibilities
Finance
- Responsible for the production of the Annual Accounts for the Charity.
- Responsible for financial planning, including budgeting and forecasting.
- Responsible for the production of regular management accounts
- Ensure that Trustees are provided with clear information and analysis of AMEE's current and forecast financial position. Ensure that legal advice on related financial matters is sought and acted on where appropriate.
- Work with the Chief Executive in transitioning the organisation to a Company Limited by Guarantee.
- Act as company secretary.
Strategic
- Together with the Chief Executive and senior management team, develop annual and medium term financial plans for AMEE ensuring the longer term financial sustainability of the organisation.
- Take responsibility for sourcing and securing relevant grant funding
- Provide professional support and advice to the Chief Executive, Trustees and Senior Management Team on all financial matters.
- Set the strategic direction and annual objectives for the finance function.
- Develop and adapt longterm financial models to support strategic discussion and investment at Trustee level.
- Ensure that key internal processes such as the governance cycle, the annual budgeting and forecasting processes and financial audits are appropriately scheduled, communicated and delivered.
- Ensure the continual improvement of the finance system.
Business Systems
- Develop and maintain an appropriate suite of management information, KPIs and other tracking documents to monitor AMEE's performance against plan for use by the Trustees, Chief Executive and SMT.
- Provide excellent quality historical and forecast financial data in order that managers understand financial performance and can take appropriate action.
- Ensure that financial risks throughout AMEE's activities are identified and ensure that appropriate processes are in place to monitor and mitigate them.
- Take responsibility for Data Protection and GDPR within the organisation
- Manage and optimise the CRM system and oversee all supplier contracts, ensuring best value and taking into account ongoing risk.
Control, compliance and accountability
- Determine an appropriate financial control environment for the organisation, lead on implementation and ensure that its effectiveness is monitored both through regular management processes and through the internal audit programme.
- Ensure that AMEE complies with all Scottish Charity Commission, Companies House, HMRC filing and reporting requirements. Ensure all financial activity is compliant with relevant charity and statutory legislation and contractual requirements.
Risk Management & audit
- Responsible for the risk management process, which identifies risks and appropriate mitigations.
- Work with the Chief Executive and the SMT to maintain and implement an effective organisational risk register.
- Responsible for managing the external & internal audit processes.
- Responsible for the reserves policy.
- Provide strategic input to the development of the organisation's strategy and future growth plans, thinking beyond own direct areas of responsibility.
- Participate in regular SMT meetings to ensure timely and appropriate organisational decisions, with a commitment to transparent decisionmaking and active problem solving.
- Demonstrate the values of an inclusive workplace culture, ensuring participatory decision making and effective delegation.
- Perform such additional tasks as may reasonably be requested from time to time by the Chief Executive.
Experience required
- Accountancy qualification (CA, ACCA, CIMA or equivalent)
- Minimum of 35 years' relevant experience
- Experience dealing with SMT and board level directors
- Experience with process and systems improvement
