Job Role:

We are currently seeking a highly organised and detail-oriented Production Coordinator to join our creative agency.

As a Production Coordinator, you will play a pivotal role in supporting our production team, both on-set and in an office-based capacity, to ensure seamless and successful delivery of projects.


Responsibilities:


  • Provide invaluable support to senior members of the production team during all shoots, ensuring smooth operations and efficient workflows.
  • Collaborate closely with the production department to manage client expectations and action points, ensuring projects are delivered according to the creative vision, budget, and timelines.
  • Handle administration and distribution of production paperwork, such as schedules, call sheets, contracts, and talent information, with accuracy and timeliness.
  • Manage international and local production travel logistics and bookings for the Creative Shoot team, talent, production partners, and creative agency personnel.
  • Ensure proper storage and archiving of paperwork, documentation, and deliverables, maintaining organised systems for easy retrieval.
  • Provide general assistance and support to senior team members, anticipating needs and proactively addressing them.
  • Adhere to current creative and production processes, ensuring flawless execution and adherence to established protocols.
  • Coordinate project and spending reports for the finance team in an accurate and timely manner, ensuring smooth financial operations.
  • Work closely with our inhouse art directors during pre and postproduction, fostering collaborative relationships to achieve creative excellence.
  • Report freelance and model arrival times and promptly notify the Shoot Producer of any delays, maintaining clear communication channels.
  • Generate innovative ideas to push boundaries, improve processes, and enhance capabilities, with a keen focus on commercial decisions and actions.

Requirements:


  • Proven experience as a Production Coordinator for at least three years, preferably in the fashion industry, demonstrating a strong understanding of production processes and workflows.
  • Strong organisational skills with meticulous attention to detail, capable of effectively multitasking in a fastpaced environment.
  • Ability to work effectively under pressure, react quickly, and meet deadlines, while maintaining a high level of professionalism.
  • Excellent communication skills, both written and verbal, with the ability to work collaboratively with diverse teams and external partners.
  • Proficiency in production paperwork and processes, including schedules, call sheets, contracts, critical paths, and budget management, ensuring accurate and efficient execution.
  • Familiarity with international and local production travel logistics and bookings, demonstrating resourcefulness and problemsolving skills.
  • Knowledge of pre and postproduction stages, including working with art directors and wider creative teams, fostering seamless workflows and cohesive collaborations.
  • Ability to work independently and take ownership of tasks, while also effectively collaborating within a team, promoting a positive and inclusive work environment.
  • Knowledge of endtoend production, including model management, photography, location agencies, and studios, with a keen eye for details.
  • Flexibility to work both onset and in an officebased capacity, as required, showcasing adaptability and versatility.
  • Positive attitude, adaptability, and ability to thrive in an everchanging, fastpaced environment, demonstrating resilience and professionalism.
  • Proficient in Mac and experienced in using various tracking/recording systems, as well as Google G-Suite (Sheets, Docs, etc.) and Microsoft Office (Excel, Word, etc.) literate, ensuring efficient use of technology in daily tasks.
  • Lover of dogs, we have a studio dog who comes into the office everyday.
