We are a fast-growing entrepreneur managing 8+ ongoing projects primarily in healthcare and e-commerce. We're seeking a highly capable remote Executive Assistant to act as a strategic partner: someone who can take ownership, drive accountability, and streamline processes to keep everything on track.

Responsibilities

  • Oversee and coordinate across multiple projects: Track progress, set up procedures, and generate data-driven reports.
  • Manage calendars, schedules, and follow-ups: Ensure timely responses and hold team members accountable for deliverables.
  • Handle data and analytics: Analyze project metrics using tools like Excel or Google Analytics to inform decisions.
  • Create and maintain organizational systems: Develop SOPs, workflows, and documentation for efficiency.
  • Take initiative: Step in to lead tasks, resolve issues, and self-teach new skills or technologies as projects evolve.

Requirements

  • 3-5 years of experience as an Executive Assistant, Project Coordinator, or similar role, preferably in healthcare, e-commerce, or fast-paced entrepreneurial settings.
  • Strong multitasking and organizational skills: Proven ability to juggle multiple priorities without dropping details.
  • Data and numbers oriented: Comfortable with quantitative analysis, reporting, and tools like Excel or Google Sheets.
  • Tech-savvy and adaptable: Proficient in project management software, CRM systems, communication tools, and willing to learn new tech quickly.
  • Leadership mindset: Ability to take control, hold others accountable, and handle high-pressure situations with resilience and thick skin.
  • Fluent in English: Excellent written and verbal communication for clear, professional interactions.
