Job summary


The PCN Administrator is an integral part of the PCNs organisational structure working closely alongside the Clinical Directors, PCN Operational Manager, PCN Digital & Transformation Lead and PCN Board members.


The PCN Administrator will have a broad portfolio of duties and will provide high quality administrative support to the PCN team including general administration, arranging meetings, and taking minutes, maintaining PCN workforce appointment schedules on the clinical system, and supporting appointment bookings.

The job description and person specification are an outline of the tasks, responsibilities and outcomes required of the role. The job holder will carry out any other duties as may reasonably be required.


Primary responsibilities

  • Provide high quality administration support to the PCN Senior Leadership Team.
  • Support with the planning and organising of twice monthly PCN Board meetings, including the development of the agenda, associated papers, taking and distributing the minutes and updating the PCN action log and meeting decision maker and planner.
  • Support other ad hoc PCN Meeting by arranging meetings and taking of minutes where necessary.
  • Diary management for members of the PCN Senior Leadership Team.
  • Management of PCN Network Drive, e.g., MS Teams, shared drive, GP team net (regular upload of minutes and any other important documents, including Network Agreement).
  • To support the production and presentation of formal reports.
  • To support the development and formatting of PCN Newsletters.
  • To keep the PCN Asset register up to date.
  • To support with the recruitment of PCN roles by submitting job descriptions to the relevant recruitment sites, being a point of contact for queries, arranging interviews and liaising with Vernova HR as and when required.
  • Be responsible for uploading appointment schedules onto the clinical system (EMIS remote) for PCN clinics and updating schedules with sickness, annual leave and training requirements.
  • To support the booking of patient appointments onto EMIS remote for MHPs, Clinical Pharmacists in the first instance.
  • To support the development of working rotas e.g. paramedic practitioner rota.
  • To keep up to date with training relevant to the role, especially around MS Office, use of MS Teams and use of EMIS remote.
  • To provide front of house cover for the PCN same day access hub, which will involve communicating with patients and liaison with PCN practices.

Person Specification

Qualifications
Good standard of education with excellent literacy and numeracy skills

NVQ Level 3 Business Administration (or relevant experience) / A level, or equivalent qualification.


Experience
Experience of working in General Practice, the NHS or Social Care

Experience of administrative duties or working in a PA role

Able to demonstrate a clear understanding of working with confidential information and an understanding of service user confidentiality

Experienced working with EMIS Web - Medical Record system

Working in a busy and demanding environment whilst delivering in a timely manner


Skills
Proven record of excellent written and verbal communication skills and interpersonal skills

Evidence of excellent knowledge of Microsoft Office

Able to prioritise and manage own workload and ensuring completion of tasks on time

Ability to analyse and interpret information and present results in a clear and concise manner
