Role purpose:


As part of the Facilities team, you will provide a positive and professional image of the Company to all visitors.

Deal effectively with a wide range of queries and information ensuring an appropriate and effective resolution.


Provide administration support to each area of the business achieving the highest standard, ensuring the delivery of service requests are seen as a priority.


In line with company Health & Safety guidelines ensure the office is kept in a safe and tidy condition to enable colleagues to concentrate on servicing our external Customers.

Set an example by acting in a professional manner at all times including wearing personal protective equipment.


The role will include but is not limited to:


Front of House duties:


  • Meet and greet Lifeplus visitors in a courteous and professional manner.
  • Carry out building inductions for colleagues, visitors and contractors attending site.
  • Provide general office administration support to Facilities Department and the wider business including photocopying, laminating, and scanning, where necessary
  • Access control: o Issuing and correct access of security cards. o Ensure all visitors are checked in in a timely manner and the relevant stakeholder informed, guaranteeing visitors' badge & PPE are issued.

Facilities Administration:


  • Responsible for the use of the Facilities ticket portal (Spice works) including assigning, actioning and closing tickets.
  • Ensuring general maintenance of kitchen and canteen area is kept up to date.
  • Responsible for the general cleaning and management of onsite coffee machines.
  • Accountable for updating information noticeboards, including but not limited to benefits and recruitment information.
  • Order and maintain stock in relation to the facilities management service provision e.g. printers and copiers, coffee machines, Lifeplus products etc.
  • Responsible for meeting room management, including liaising with relevant departments for support when required.
  • Provide effective support to the Maintenance Technician when required.
  • Provide absence cover for the Facilities Administrator based at Lifeplus House.

Health and Safety:


  • Responsible for onsite weekly fire alarm testing, with effective and accurate recording of data.
  • Regular fire extinguisher checks with effective and accurate recording of data.
  • Carry out weekly premises audits to ensure building maintenance is undertaken in a timely manner, with effective and accurate recording of data.
  • Monthly legionella testing.
  • Ensure all contractors attending site have provided appropriate health and safety paperwork before admittance to site, issuing contractor lanyards with appropriate access levels.
  • Maintain Health and Safety & Recruitment areas of notice boards.
  • Develop a concern for personal safety and the safety of others.
  • Ensure you are aware of local First Aiders, Welfare Provision and Emergency Procedures.

Key Attributes

  • Previous experience in an administrative role.
  • Passionate about delivering excellent customer service.
  • Previous experience in basic health and safety compliance.
  • Excel
lent written and oral communication skills with the ability to convey complex messages to key stakeholders.

  • Ability to establish good working relationships.
  • Excel
lent people skills - being able to deal with internal and external stakeholders across the business at all levels.

  • Selfmotivated with a positive and flexible approach.
  • Ability to multitask and prioritize workloads with a keen eye for detail and be able to demonstrate a high level of accuracy.
  • Able to work as part of a team and on their own initiative.
  • Excel
lent IT skills particularly Microsoft Office products, including:

  • Excel
  • Word
  • Outlook

Other

  • Full clean driving license and own transport as you will be required to travel to and from our other St Neots site.

Hours and Days:


  • 37.5 hours per week 8am to 16:1 Monday to Friday. Monday to Thursday Keppel House Friday Lifeplus House
