This post is an opportunity to begin a career in business and financial administration in a small friendly team within a London Russell Group University.

The Business Support Administrator will work within the Arts & Humanities Faculty Office Business Support Team.

The postholder will assist with expense claim processing, payments, purchasing, and travel booking requests, relating to a wide range of Faculty budgets.

They will assist in managing shared Faculty inboxes and will report to the Business Support Manager. The postholder will also assist with other general office management duties as directed.

Key Responsibilities

Responsibility for prompt, efficient and accurate processing of non-routine and routine expense claims.

Responsibility for processing international payments and fee payments to individuals.


Advising academic staff on faculty and institutional policies, principles and processes such as purchasing policies, procurement rules and regulations, the university's travel policy, financial procedures and compliance with university regulations.

Maintaining an electronic tracking and filing system for all processed financial transactions.

Liaising with the relevant university-preferred suppliers to book travel, accommodation, and other services.

Occasionally supporting staff with event organisation.


Raising purchase orders for services and equipment via the university's e-procurement system, and receipting orders once goods and services have been received.

Liaising with, and dealing with enquiries from, the Faculty's staff and students, colleagues from across the university (e.g. Accounts Payable) and external suppliers.

Contributing to Arts & Humanities Faculty Business Support Team projects.

Undertaking any other projects or duties appropriate to the post as may be required.

This post will be offered on an indefinite contract.

This is a full-time post.

Skills, knowledge, and experience

Essential criteria

  • A good standard of general education with excellent numeracy and literacy skills
  • Excellent oral and written communication skills
  • Time management skills with a flexible approach to work
  • Ability to work as part of a team
  • Knowledge of Microsoft Office
  • Experience processing high volume enquiries
  • An aptitude for problem solving
Desirable criteria

  • Knowledge of eprocurement systems and/or financial processing
