Executive Assistant
To provide personal administrative support to the Managing Director (MD) and Commercial Director (CD) in the achievement of their department and company business objectives.
This role is 30 hours per week, Monday to Friday (6.5 hours a day with 30 minutes lunch) at our Castleham site in Hastings.
Main Duties & Responsibilities
To maintain and build mutually beneficial, supportive and trusting relationships with Shareholders, Customers, Suppliers, Colleagues and other Operational areas.
To maintain a confidential approach to all matters relating to the function of the MD & CD and the Company and its associated Companies.
To work with the Chairman's EA to understand the requirements for external regulators and advisers, such as Solicitors, Insurers and Auditors & to liaise with Shareholders and Trustees.
Prepare and edit correspondence, communications, presentations and other documents. File and retrieve documents and reference materials.
Manage diary entries and meeting bookings
Book and confirm customer meetings and quarterly/6 month reviews, sending of agendas
Prepare presentations information required for customer review meetings
Type PDR's
Prepare the NSM review pack and action plans
Book team events, customer events and logistics to do with those
Issues agendas and actions for internal meetings
Manage and Maintain ND & CD schedules, appointments and travel arrangements, including arranging travel for their directly reporting management teams.
Preparation of monthly expense claims via the Concur App
Administer the Company Employee award scheme.
Receive and interact with incoming visitors.
General Duty:
To undertake any activity as directed by the Line Management and within current skill range or training to support the introduction of new activities, attitudes, skills or knowledge and/or the demonstration of professional competence.
At all times during employment to devote sufficient attention to the duties and activities required by this employment and to faithfully and diligently perform such duties and powers assigned to the job holder.
To promote the interests of the Company and any Group Company at all times and to undertake any tasks in support of the Company's business objectives as a whole.
Skills
Excellent PC skills (use of keyboard, spreadsheets, word processing, Powerpoint, Windows based software). Including ability to use "in-house" computer data management systems.
Experience in communicating with and taking positive action in response to queries received via phone, verbally, electronically and in written format.
Ability to make appointments and plan Directors movements around the UK
Clerical/office based work in an open office area carrying out a range of office based tasks including filing/data retrieval/letter/report writing, diary/event management and data input.
Organising various travel arrangements as required.
Experience in balancing a range of confidential information including personal data relating to the business of the company, its shareholders, customers, suppliers and employees.

£28,785.71-£32,500.00 per year
