We are currently recruiting for an Executive Assistant to join the business to provide administrative and organisational assistance to the Group Support function of the business which covers HR/Office Management/Administration.

JOB DESCRIPTION AND REQUIREMENTS

Job Title:

Executive Assistant.


Accountable To:

Personal Assistant to CEO.


Based:

Bangor, Gwynedd.


Job Purpose Statement:

To provide administrative and organisational assistance to the Group Support function of the business which covers HR/Office Management/Administration.


Responsibilities and Duties:


HR

  • Issuing of contracts of employment, offer letter, employee handbook etc.
  • Perform inductions for new starters.
  • Maintaining and delivering probation reviews.
  • Maintaining employee records on online software system (Sense HR) on a regular basis including holidays/sickness/absences.
  • Staff performance reviews (6 monthly) administer the process and create report to CEO.
  • Liaising with our external payroll company to provide any information required for 5 payroll runs (total of 28 employees) each month including producing a 'Change of Circumstance' pack to the CEO for approval in a timely manner.
  • Reconciling payroll for the Finance Director monthly and producing reports at the end of every quarter.
  • Completing P11d forms and submitting to HMRC (annually).
  • Employee relations, including managing absence, disciplinaries and grievances.
  • Introducing new policies and maintaining existing policies for the company.
  • Maintaining records for company vehicles and liaising with external supplier when leases are due for renewal.
  • Ensuring all company policies and procedures currently in place are up to date and in line with current employment law and ensuring line managers are up to date with any change in policy.
  • Administering the medical benefits:
  • Employee benefit programme (Medicash).
  • Bupa family Private Medical Insurance
  • Staff Bupa Private Medical Insurance.
  • Administer the Pension regulator dates, Pension meetings and liaising with our pension provider.
  • Administrating/preparations for annual staff meetings, arranging venues etc.

Office Management

  • To act as Office Manager in our Parc Menai office to ensure smooth running of the office including but not limited to:
  • Dealing with any building maintenance issues.
  • Liaising with cleaning staff.
  • Ensuring fire alarm tests are carried out in accordance with requirements.
  • Act as an Appointed Person for the Parc Menai Office.
  • Going out to market to ensure best value when contracts with suppliers are due and preparing presentations to CEO for approval.

Group Support

  • Attend bimonthly meetings with CEO to provide updates on ongoing matters relating to HR and Group Support Matters.
  • IT liaise with external IT providers.

Administration and ad-hoc Duties

  • To provide administration support for CEO when his PA is on leave etc.
  • Acting as an emergency authoriser for bank payments for the company.
  • Any other duties that may be required from time to time.
  • HR background qualification or experienced HR professional with a demonstrated history of efficiently managing human resources functions and to the overall effectiveness of HR operations.
  • Membership of CIPD would be advantageous.
  • Basic Health and Safety knowledge would be advantageous.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Excellent organisational and time management skills.
  • Strong attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Experience of working in a commercial environment.
  • Ability to prioritise and organise workload, solve problems, multitask and adapt quickly to change and deliver the pressure of deadlines.
  • Computer literate with sound knowledge of Word and Excel.
  • Excellent interpersonal skills including a good telephone manner and comfortable dealing with people of all levels, internally as well as externally.
