Job Purpose:

To perform and execute all procurement, logistics, infrastructure & specimen management activities related to the London site. The specimen management activities include the day-to-day management of specimen shipments, storage, handling and specimen logging.


Main areas of responsibility:


Supplier & vendor management

  • Identify suitable suppliers/vendors based on company needs.
  • Maintain good relations with all vendors/evaluation and review of vendors (approval).
  • Maintaining the supplier / service vendor database
  • Coordinate the procurement, installation, maintenance, qualification, and repairs of equipment and the facility.

Reagent & inventory control

  • Receiving all reagents, consumables, equipment and stationery in accordance with company policy and standard operating procedures.
  • Develop/maintain accurate purchase and inventory records.
  • Inspect contents received (verify according to order placed)
  • Create Mat codes for new materials, and link to suppliers.
  • Label deliveries and allocate to designated areas/staff.
  • Request quotes, Issue Purchase Orders, manage shipments (timelines/document management).
  • Process goods received (GRV) on inventory platform & assign to projects
  • Insert rejected stock on inventory platform. Report irregularities, return stock as needed.
  • Assist in managing and controlling high risk stock
  • Capture receive dates / ETA dates on order books
  • Stock take: Participate, oversee and manage outcomes.
  • Maintain stock levels and attend to weekly consumable stocktake.

Planning, communication & reporting

  • Primary liaison to courier companies.
  • Organise shipping & liaise with couriers to/from all Synexa sites.
  • Receive and manage incoming orders/courier requests.
  • Primary point of contact for internal communication related to specimens and Sponsor provided compounds/reagents

. Including specimen related timelines and discrepancies.

  • Highlight and resolve any queries related to specimen shipment manifests, requisition forms or equivalent documentation with the relevant Study Manager and ensure the communication is filed (hardcopy and/or electronic) for traceability.
  • Preparing service plans, performing cost analysis and reports for review.
  • Managing the coordination of minor repairs, assess/improve workflow of business activities.
  • Ensures processes are executed as costeffective and efficient as possible (i.e. automation / identifies areas of optimisation of processes).

Cost control & budgeting

  • Manage and report courier cost overview.
  • Preparing budgets, performing cost analysis and reports for review

Logistics and shipment related

  • Receive shipments, check & sign paperwork
  • Receive samples, check & document sample conditions.
  • Upon receipt of shipping manifest(s)/requisition form(s) for frozen and fresh specimens, log specimens and ensure source quality control checks are performed.
  • Receive specimens (as required per site) and complete required paperwork. Ensuring thorough review of received documentation and verifying accuracy.
  • Where required, file (hardcopy and/or electronic) temperature monitoring data provided by courier and share accordingly with Study Manager upon shipment receipt.
  • Assist with labelling, sorting and storage of specimens / reagents received and Sponsor provided compounds/reagents and manage freezer storage capacity alongside laboratory personnel

The role also includes specimen management related areas such as Pre-Specimen Receipt, Specimen Receipt, Specimen Storage, Specimen Administration, Phlebotomy/Specimen Collection, Facilities & Infrastructure, Quality, Safety and Compliance, Equipment management and Security & Emergency Response Planning.**
Qualification/Experience required:
  • Bachelor's degree or 2-3 years of experience in relevant field of work.
  • Ability to oversee sample management activities across multiple studies
  • Two or more years' experience in a laboratory environment / infrastructure related role
