Description
The role will primarily involve liaising with our suppliers, and negotiating prices.

Once a negotiation has happened, you will be able to store this information, keep track of it, and produce comprehensive reports.

You will utilise our in-house software to fulfil your duties - training will be provided. While the role is related to marketing - you won't need specific marketing experience.


You should also be able to communicate with the company directors, and possess a strong level of self-confidence to take ownership of the role.


Responsibilities:

Administrative Support: Provide administrative support to the link building team, including managing schedules, coordinating meetings, and handling travel arrangements for team members.

Data Management: Create, update, and maintain spreadsheets and databases to track link building progress, outreach efforts, and link placement performance. Ensure data accuracy and integrity.

Reporting: Prepare regular reports and summaries of link building activities, outreach progress, and key performance metrics for presentation to company directors and stakeholders.

Expense Tracking: Manage and track expenses related to link building outreach, ensuring adherence to budgetary guidelines.

Document Management: Organize and maintain digital and physical documents related to link building campaigns, contracts, and agreements. Ensure easy access and retrieval of critical information.

Communication Liaison: Serve as a point of contact to the company directors. Relay important updates, project statuses, and requests for approvals or resources.

Resource Allocation: Assist in resource allocation by providing input on team workloads and project timelines. Collaborate with directors to ensure optimal resource allocation for link building campaigns.

Quality Control: Conduct regular quality checks on link placements and ensure that they meet the company's standards and guidelines. Address any issues or discrepancies as needed.

Vendor Management: Manage relationships with third-party vendors and service providers, including negotiating contracts, monitoring performance, and ensuring compliance with agreements.

Project Documentation: Create and maintain project documentation, including project plans, timelines, and status updates. Ensure that all team members have access to relevant project information.

Ad Hoc Tasks: Take on ad hoc tasks and projects as assigned by company directors to support the overall success of the link building program and the company.


Requirements:


  • Proficiency in Microsoft Office Suite, particularly Excel, for data analysis and reporting.
  • Strong organizational skills with an emphasis on attention to detail.
  • Excellent time management and multitasking abilities.
  • Effective communication skills, including the ability to liaise between team members and directors.
  • Proactive problemsolving skills and the ability to work independently.
  • Experience in administrative roles or executive support is a plus.


The Executive Administrator will play a vital role in ensuring the smooth operation of the link building program, facilitating communication, and providing valuable administrative support to both the link building team and company leadership.
