The Office Coordinator is responsible for managing the day-to-day operations of the Flexioffices office, ensuring smooth functioning and efficient support across various administrative tasks.

This role involves welcoming visitors, scheduling meetings, providing administrative support to various departments, managing onboarding/offboarding processes, maintaining accurate records, and overseeing data entry projects to streamline processes.

Additionally, the Office Coordinator plays a key role in managing the CRM system, coordinating with external providers, and handling incoming calls to ensure effective communication within the organisation.


Responsibilities:


  • Manage and welcome visitors to the Flexioffices office in a professional and courteous manner
  • Schedule and plan meetings, as well as arrange travel requirements for staff members
  • Provide office administrative support, including proactive customer service, Health and Safety compliance, office management of stationary, and other related tasks
  • Facilitate onboarding and offboarding processes, including equipment, access, systems setup, and any onboardingrelated activities or gifting
  • Perform general administration tasks such as updating the HR platform and maintaining relevant documents
  • Oversee ongoing data entry projects aimed at streamlining processes and updating the CRM system
  • Manage the Business Centre inbox, handle incoming requests, and ensure timely responses
  • Update listings, images, and building centre approvals via the CRM system, ensuring accuracy and completeness
  • Enhance listings and identify upselling opportunities to maximise account potential
  • Reassign and arrange leads to the appropriate sales consultant based on availability and division allocation
  • Manage the telephone system and coordinate with providers to address any issues affecting business operations
  • Answer incoming calls and direct them to the appropriate staff member, ensuring seamless communication flow
  • Utilise messaging services to manage and issue messages to the relevant team members when necessary
  • Coordinate CRM updates and log any issues with the CRM provider to ensure smooth functioning of the system

Requirements:


  • Business administration and/or office management
  • Proven experience in office administration or similar role
  • Strong organisation skills with the ability to multitask and prioritise tasks efficiently
  • Excellent communication and interpersonal skills
  • Attention to detail and accuracy in data management
  • Ability to work independently and as part of a team
  • Problem solving skills and ability to handle multiple tasks simultaneously
  • Knowledge of Health and Safety
  • Prior experience in customer service or sales environment
