JOB DESCRIPTION




POST TITLE:
Democratic Officer (Part time - 22 1⁄2 hours) - 12 months Maternity Cover - flexible working available





DEPARTMENT:
Town Clerk





GRADE:
SCP 22-28





PURPOSE OF JOB:
To provide administrative support to the activities of the Town Clerk's Office.


ORGANISATIONAL The postholder will be responsible to the Town




RELATIONSHIPS:
Clerk and have regular contact with Councillors, other staff and members of the Public





PLACE OF WORK:
Huntingdon Town Hall, with occasional working from home option


DUTIES AND RESPONSIBILITIES

  • To take lead role as Meetings Clerk by managing the production, publication and filing of agendas, minutes and reports for the Town Council's Committees and Sub-Committees meetings - which will require attendance at occasional evening meetings, normally held on Thursdays.
  • To undertake the lead role on behalf of the Town Council for General Data Protection Regulations
  • To ensure the Mayor / Deputy Mayor is advised on the protocols and formalities attached to the Mayoralty and to ensure that other staff and outside organisations are aware of the correct protocol. To liaise with other Councils and formal bodies to ensure protocol is established on out of parish engagements.
  • To maintain the Mayor's diary and keep a record of engagements to be undertaken by the Mayor and the Deputy Mayor (both civic and public), ensuring there is no clash of meetings and that engagements are carefully timetabled, coordinated and invitations replied to. To hold regular meetings with the Mayoralty to discuss engagements.
  • To arrange / prepare briefings / background information and speeches to be available for the Mayor / Deputy Mayor in advance of meetings and civic engagements, liaising with other staff and outside organisations as appropriate.
  • To manage and promote the Town Council's Grant Applications and follow up the publication and evidence of use reports.
  • As required, to assist with Town Council civic events, some of which fall outside normal working days / office hours. This includes Huntingdon Christmas Market, Remembrance Sunday Service and Parade and other.
  • As directed, production of correspondence, reports, minutes and other related notices related to provision of the Council's services.
  • To assist with the maintenance of an accurate filing system and archiving of any records associated with the Council's services.


The post holder will be expected to undertake an annual appraisal in accordance with the Town Council's aims and objectives.


Job Types:
Part-time, Temporary contract

Contract length: 12 months

Part-time hours: 22.5 per week

From £29,439.00 per year
