Description

We are seeking a Practice Management Administration and Support Assistant to work in a busy law firm based in Chesterfield and Sheffield.

The role will consist of but not limited to

  • Collecting, opening, and distributing morning post and post received during the day.
  • Prompt distribution of messages and deliveries around the office during the course of the day.
  • Organising and preparing the post in readiness for post office collection, including online recording.
  • Hand deliveries where needed.
  • Delivery and transportation between offices as an when required.
  • Bulk photocopying and scanning for directors, executive directors, fee earners and members of staff.
  • Credit Control and debt collection support for the firm including client contact, correspondence and liaising with third parties where required.
  • Binding documents.
  • Checking and ordering of stationery supplies for Chesterfield office.
  • Physical archival and retrieval of files in accordance with the firm's procedures for both offices.
  • Closing and archiving files on the system.
  • Reception cover during breaks, lunchtimes (1hour 30 minutes each day) holidays and sickness etc.
  • Greeting Clients, showing them to meeting rooms.
  • Talking to clients on the telephone and assisting them with enquiries.
  • Dealing with client queries through reception including copying client documents, taking ID etc.
  • Arranging catering for internal and external meetings including preparing rooms for meetings.
  • Opening and locking of fire exits each day.
  • File auditing and ensuring remedial action is undertaken within the timeframe required.
  • Assisting the practice manager with administration and firm compliance tasks.
  • Allocation and organisation with the practice manager of mandatory training and maintaining central records for all staff members.
  • Induction and providing initial PMS training, phone training, client onboarding for all new starters.
  • Liaison with external providers and suppliers.
  • Input and report on central record of Client Satisfaction Questionnaires.
  • Maintain risk register in conjunction with COLP and Practice Manager.
  • Other duties as and when required to ensure the smooth running of the office administrative.functions in chesterfield
  • Providing cover in Sheffield office for reception to cover holidays and work as and when needed.

Pay:
£25,000.00-£27,500.00 per year

Education:


  • GCSE or equivalent (preferred)

Experience:


  • Customer service: 1 year (preferred)
  • Administrative experience: 2 years (preferred)

Language:


  • English (preferred)

Licence/Certification:

  • Driving Licence (required)
