JOB TITLE Medical Secretary


HOURS OF DUTY hours per week - (job share would be considered)


RESPONSIBLE TO Secretarial Team Leader, Practice Manager and thereafter the Partners


JOB LOCATION Broadwater Medical Centre, Worthing


Job Summary

  • To provide full secretarial cover for doctors
  • To process all requests for insurance reports, employment reports, Police Statements, completion of private forms and solicitors requests for copies of notes. To monitor payments for private work. Uploading forms to third party company for processing.
  • To provide cover for colleagues for holidays and sickness
  • Essential to have previous medical secretary experience and experience of Microsoft Office and Excel

SPECIFIC DUTIES

  • To make hospital appointments and bookings as required
  • Chasing hospital results and appointments as appropriate
  • To take incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries
  • To Process all requests for medical information from insurance companies, employers, foster care agencies and any other third party
  • Process requests from solicitors for copies of patient notes
  • Deal with any telephone or patient queries regarding all of the above
  • Ensure that patient consent is in place before processing requests for
patient information

  • Uploading of private medical report requests to third party company for processing
  • Postholder must have previous medical secretary experience.

  • Information relating to patients, carers, colleagues, other healthcare workers or the business of the Practice may only be divulged to authorised persons in accordance with the Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data

Personal/Professional Development:

The post-holder will participate in any training programme implemented by the Practice as part of this employment, such training to include:
Participation in an annual individual performance review, including taking responsibility for maintaining a record of own personal and/or professional development

  • Taking responsibility for own development, learning and performance and demonstrating skills and activities to others who are undertaking similar work

The post-holder will strive to maintain quality within the Practice, and will:

  • Assess own performance and take accountability for own actions, either directly or under supervision

  • Recognize people's needs for alternative methods of communication and respond accordingly

Contribution to the Implementation of Services:

The post-holder will:

  • Discuss with other members of the team how the policies, standards and guidelines will affect own work
  • Participate in audit where appropriate
