Administrative Assistant - Pharmacy, Band 3 (18 hours a week)


We are looking for an enthusiastic Admin Assistant who can demonstrate a positive demeanour, attention to detail and with a Can-Do attitude.

You will
provide full administrative support to our friendly and welcoming pharmacy department as per all key result areas and support over 100 staff in a
unique and varied role. You will be based in Cheltenham General Hospital with flexibility to cover Gloucestershire Royal Hospital when needed. All key departmental Administrative tasks will be expected as well as admin support to select staff.

Administration

  • Maintain all filing systems
  • Filing of outpatient prescriptions and all other relevant filing
  • Photocopying and collating of various documents for meetings.
  • Dealing with annual leave/sickness keeping appropriate records
  • Ordering of all departmental stationary and controlled stationary.
  • Receive incoming mail for Pharmacy,
  • FP10 NC prescription pads
  • Ensuring Disposal of out of date, but confidential information
  • Create orders
  • Take notes and distribute to staff for the team brief
  • Provide note taking support when needed at meetings
  • Collate information based on Audits
  • Provide Induction for all new staff
  • Collect the daily CD slips and match them to the correct TTO
  • Monthly filing of CD orders and CD destruction records
  • Complete any typing as required.
  • Organising Locum staff
  • Yearly completion of Pharmacist and Pharmacy Technician GPHC r egistration compliance
  • Ensuring prompt payment of Locum staff using appropriate system.

services, medicines information, procurement services and a full clinical service to wards. There is a regular free shuttle bus allowing easy
transport between hospitals both of which are located in the city/town centres with access to shops and cafes.

with the necessary skills and ongoing support to make a real difference to patient care, include a program to develop prescribing roles within the

Personnel Responsibilities

Completing leaver/variation forms

Update HealthRoster

Produce sickness reports

Liaise with and support section heads with sickness reviews

Ensuring new starters receive starter packs/badges

Liaising with Personnel/Salaries and Wages.

Organise and collate forms and help with maternity enquiries.

Be the first point of contact for staff regarding queries on pay and annual leave.

Organise the receipt, packing and distribution of the BNFs

Exercise judgement when dealing with enquiries.

Occasional requirement to provide emotional support to staff

Finance / Invoicing

Receipt orders on smart stream

Smart stream use for invoices and payment of all relevant items,

Answer queries on Smart Stream

General

Complete any other Admin related tasks assigned by Pharmacy Senior Leadership Team

Ensure the standard operating procedures are adhered to and Health and Safety procedures followed.

Be responsible for managing self to organise own daily duties. Be willing to re-arrange duties and prioritise according to service need

Comply with the code of behaviours & values that the trust expects.
