About the role:


As College Support Administrator, you will provide administrative support in the College Office, acting as a point of contact and support for the College with the Executive Support Officer.

You will be responsible for diary management, collation of meeting papers, minuting of meetings and recording of action points, and coordinating events


You will act as a key communication point for the College, contributing to the provision of an effective business administration service and dealing with queries and liaison with internal/external stakeholders and organisations.


Principal accountabilities:


  • To act as a key communication point for the College, contributing to the provision of an effective business administration service and dealing with queries and liaison with internal/external stakeholders and organisations.
  • Provide administrative support for the College Senior Management Team, including diary management, servicing meetings, recording and distributing minutes, document management, and other general administration.
  • Coordinate and disseminate reports for the Senior Management Team meetings, share and distribute weekly/ monthly information.
  • Collating and coordinating data and information in order to support management information reporting requirements.
  • Contribute to the coordination and completion of audits and returns.
  • Plan and coordinate, with the Executive Support Officer, Senior Management Team travel and conference itineraries and
  • Act as cover for the Executive Support Officer to the PVC Dean and Deputy Dean when the business requires.
  • To provide support with meeting and greeting visitors to the department and directing them to the relevant
  • Provide dedicated administrative support to meet professional/accreditation bodies and external stakeholder specifications as required.
  • Assist in key University activities such as open days, events, and graduation.
  • Escalate issues of concern to the Executive Support Officer.
  • Have an awareness of regulations, policies, and procedures and GDPR policy.
  • Postholder may be required to undertake other duties commensurate with the level and skills/qualifications to the role.

Essential Criteria:


Qualifications:


  • Educated to A-Level standard with GCSE level C or above in Maths and English, or equivalent significant workbased experience

Experience:


  • Experience of working in an administration role in a service setting (including minute taking)
  • Experience of handling sensitive situations, recognising confidential issues and dealing with them appropriately and with full discretion
  • Experience of proactively managing a diverse workload with the ability to meet deadlines, effectively manage own time, prioritise and react swiftly to changes

Skills, knowledge & abilities:


  • Strong organisational, prioritisation and time management skills
  • Excellent interpersonal and communication skills with the ability to develop and maintain effective relationships
  • Good attention to detail, including proof reading skills and the ability of maintain a high level of accuracy
  • Ability to consistently produce accurate written communication that is well structured
  • Digital literacy and excellent computing skills including Microsoft Office and use of administrative business systems
  • Knowledge and understanding of data protection principles

Business requirements:


  • Willingness to occasionally undertake late, evening and weekend work when required
  • Willingness and flexibility to travel and work between University and external sites in a cost effective and timely manner

  • Customer Service or Business Administration qualification

Experience:


  • Administration experience in a Further Education or Higher Education environment
