Equipment Supply Co-Ordinator

39.5 hours per week Monday to Friday

Office based

Wellingborough, Northamptonshire

We are seeking a full time Equipment Supply Co-Ordinator to join our team, someone that can bring positivity, an inquisitive mind and provide solutions to problems.


This position will be suited to someone who will be able to problem solve, multitask, have good attention to detail and an ability to keep focused on delivering a personalised service within agreed timescales.


You will be confident using the telephone and will be able to build natural rapport with clients, supplier and engineers.

An ability to manage your own workloads and meet deadlines is essential.

You should have prior experience in an administration/customer service environment and be willing to learn from the basics up.


Objectives of this Role

  • Deliver the daytoday administration for our equipment supply team.
  • To organise and coordinate the delivery of equipment supply orders, projects and warehouse movements and orders.
  • Collaborate with our Business Development Managers and suppliers to coordinate the delivery of all aspects of equipment supply orders and projects.
  • Provide administration support to Commercial Director and Business Development Managers and warehouse team.
  • Manage new client enquiries and orders.
  • Build good working relationships with our clients and suppliers, to ensure a personal service is maintained, and projects are delivered effectively and on time.
  • Contribute to the commercial success of the business within your role.

Responsibilities

Supply - Enquiry Management

  • Manage new supply enquiries from clients and colleagues.
  • Administration support to assist colleagues with the quoting and supply of new equipment
  • Plan & coordinate site surveys.
  • Provide professionally presented quotations to clients.
  • Manage client & supplier enquiry process.

Supply - Order Management

  • Action orders from clients and with suppliers to meet required deadlines.
  • Liaise with suppliers, engineers, and clients to book equipment deliveries and arrange installations.
  • Keep our Business Development Managers and clients updated on the progress of orders.
  • Ensure our systems are kept up to date as work progresses.

Logistics and Warehousing Support

  • Act as point of contact for clients, record, and action any requests for equipment movements
  • Liaise daily with logistics and warehouse team to book and manage equipment in and out of our warehouse.
  • Book jobs with our transport partners as required.
  • Maintain Arolite systems with information on equipment movements.

Ongoing support- Act as key point of contact to resolve any query from our clients, suppliers, and our internal team related to equipment supply or logistics/ warehouse jobs.

  • Liaise with Commercial Director and finance teams to ensure invoices are correct and jobs are invoiced correctly.
  • Provide key contact support for suppliers and attend supplier reviews.

Team

  • Communicate and collaborate within your team to ensure all tasks are delivered according to agreed priority.
  • Contribute to team meetings, providing solutions & updates.
  • Support the wider Arolite team with any other tasks as required.

Skills and Qualifications

  • An ability to learn quickly and retain information.
  • Good attention to detail.
  • Be able to adapt to changing business and client needs.
  • Excellent written and verbal communication skills.
  • Strong timemanagement skills and multitasking ability.
  • Ability to work under pressure and meet deadlines.
  • Previous customer service/administration experience.
  • Proficient in Office 365, with aptitude to learn new software and systems
