Job Role
Reporting to the Senior Training Coordinator/Head of Training, you will provide Administrative support to the Training department


Responsibilities

  • Creating course paperwork and accurately entering data into the course records.
  • Organisation of courses/receiving and giving accurate information to trainees.
  • Communication with instructors/customers for course planning.
  • Understanding of processes and milestones when organising courses.
  • Accountable for double check hardcopy versus digital records.
  • Invigilation of examinations.
  • Organisation of visas, airport passes for trainees.
  • Sending/receiving contracts.
  • Liaising with head office and courses at distance effectively.
  • Preparing classrooms and materials pre/post training.
  • Preparation of examination packs.
  • Checking of course documentation.
  • Preparation of certificates.
  • Dispatch of documents through mail/courier.
  • Team spirit.
  • Selfmotivated and ability to work as part of the training team and head office as a whole.
  • Checking notes and materials against revision status.
  • Digital loading of courses material and other items onto USB sticks/uploading to websites/training systems.
  • Updating of the Course Data Sheet/Course Control Log/Training Plan and other data/Excel sheets as necessary.
  • Other administrative tasks as needed by the training department.
The role is based at the Head Office at Diamond Hangar, Stansted Airport, Essex, CM24 1RE.

The normal working day is between 08:30 and 17:00 on Monday to Wednesday. 30 minutes is provided for lunch.


Experience:


- Competent use of Microsoft Office.

  • Ability to prioritise tasks and reprioritise as new tasks are assigned.
  • Effective credibility with the ability to engage with all types of people.
  • Flexibility, with a strong will to maintain standards above the compliance bar.
  • Attention to detail and the ability to follow approved procedures (internal, regulatory and general).
  • Consistently delivery high standards of work.
  • Respectful interactions with internal and external staff and customers.
  • Ownership of issues and clear handovers during projects.
  • Business accountability.

Training & Knowledge:


  • Knowledge of Aviation Training Part
  • 147/Part66/Part145/Part-M desirable.
  • Experience of Customer Support.
