Description
Our records assistants are responsible for the management, transportation and maintenance if all forms of documentation within the division.

To file designated items of documentation accurately in patient case notes and other clinical and non-clinical files.

To file case notes and other files appropriately in temporary or permanent storage systems.


To transport case notes, files and other documentation appropriately including retrieval, parcelling up and arranging transportation for other destinations requiring the divisions' case notes.


To problem solve effectively and efficiently, utilising own initiative when trying to locate patient notes that may have been tracked to an incorrect location.

To store records appropriately in secure locations. To keep records safe and confidential while in their care.

To maintain files and other documentation in accordance with divisional procedures. This includes creating new folders and the destruction of documentation in accordance with local procedures.

To operate IT and other equipment safely and in conformance with divisional procedures. This includes tracking case notes and other basic operations.

To undertake other appropriate general administrative tasks, including photocopying, and any other necessary filing.

Retrieval of messages and dealing with enquiries as appropriate.


To maintain confidentiality at all times relating to the patients, staff and the Trust, ensuring compliance to Information Governance policies.

To maintain up-to-date knowledge of all relevant filing systems, both computerised as well as paper based.


When necessary, provide effective cover for all elements within the receptionist role for which further job specific training will be required in order to become competent in duties including, but not limited to; taking phone calls from patients or relatives/carers dealing with any queries that arise from those calls, meeting and greeting patients at the reception desk and making or changing appointments as and when required.

To undertake any additional duties which may be determined by the Care Unit Coordinator and or Service Manager.
