  • 12 months Fixed Term Contract**
    Salary: up to £23,000 plus benefits


As a Company Secretarial Administrator you will be contributing to Mainstay's vision to recognised as the market leading provider of services to the UK's property sector.

Mainstay is a professional service organisation, that delivers business expertise and service across the property industry.


Main Responsibilities

  • Support the effectiveness of the Company Secretarial team based in New Milton
  • Organise and manage own workload within the Company secretarial team
  • Complete Company Secretarial team's administration tasks ensuring statutory compliance
  • Issue membership certificates to new owners
  • File Annual Confirmation Statements and Annual Dormant Accounts at Companies House on time
  • Deal with Annual General Meeting requirements and send Notices as required
  • Identify & support the teams' continuous improvement plan to create efficiencies, improve service and cost savings
  • Help maintain and keep updated all department processes and working practices ensuring consistency across the team
  • Capture opportunities to help to streamline and digitise team processes to make the customer journey seamless in line with Mainstay's wider business strategy of delivering outstanding service
  • Support Company Secretarial Manager with introduction of new procedures, enabling continuous improvement and a consistent approach from the whole team
  • Develop expert knowledge of Company Secretarial compliance and company law through on the job training and selfstudy

Skills and Experience

  • Previous experience of administration work in an environment with strict deadlines essential
  • Demonstrate ability and success in managing and prioritising workload to ensure effectiveness in meeting department service levels
  • Previous experience of being part of continuous improvement or operational efficiency projects preferable
  • Understanding of Property Management industry preferable
  • Working towards Company Secretarial qualification would be desirable, but not essential
  • Must be able to demonstrate a good understanding of customer communications and dealing with challenging conversations with both internal and external customers.
  • Fully IT literate with a requirement to be comfortable in working on Microsoft Excel, Word and Outlook.
