General


Hazelwood School is based across two sites: the main school is a 26-acre site and sits atop a hill commanding fine views of the Kent Weald towards the Ashdown Forest.

The Nursery site is in the centre of Oxted and is home to over 150 children under the age of 4 years old.


Job Description:


The general responsibilities of the Lettings Assistant are:

  • To work as part of the Estates Team and to be the first point of contact for the school hirers and be responsible for the safety and smooth running of hirings during out of school hours.
  • To supervise and assist in the planning of external hirers of the school facilities on site in addition to other hireable areas within the main building, ensuring they proceed in accordance with the school lettings policy and protocols.
  • To oversee the security of the school building whilst liaising with the onsite school's staff as appropriate
The role will require working outside of normal working hours.

Specific tasks may change from day to day, so flexibility and adaptability is of the utmost importance in this role.

Delivering excellent customer service as well as excellent communication skills are also important parts of this role.


Key responsibilities:

  • Have overall responsibility for the supervision of the school premises during lettings periods, ensuring that you are aware of the hirings/events.
  • Liaise with the Estates Team regarding lettings to ensure the school premises are opened and closed appropriately.
  • Meeting, greeting and dealing with any queries or requests from the hirers.
  • Ensure that community users sign in and out appropriately and follow school lettings procedures at all times.
  • Managing handover between the hirers.
  • Maintain awareness to ensure no unauthorised access during hire periods.
  • Carry out security checks during periods of community use, including the site perimeter and frequent patrols of the school grounds.
  • Ensuring all facilities are left in a clean and tidy state after hire, as far as is possible.
  • Move furniture when required (e.g., for special events in the Theatre Space and Sports Hall) in accordance with the lettings activity sheet.
  • Act as a first aider on site for emergencies during lettings periods.
  • Carry out duties in a polite, efficient and cheerful manner building relationships with regular community users of the school site.

Conditions
9. _Employment & Management _The employment is as Lettings Assistant to Hazelwood School and Hazelwood Nursery and Early Years. Your immediate Line Manager is the Facilities Manager.

_Pension _The School offers a pension scheme, for those who meet the qualifying criteria, into which employees are enrolled after a successful probation period.

_Holiday_ You are entitled to 5.6 weeks' holiday per annum, one of which is to be taken during the Christmas break when the school is closed.

Bank and other National holidays are authorised outside this entitlement.

It is the job of the Estates Manager to manage the holiday scheduling of the Estates Team so that there is always appropriate cover and personnel on school site at all times of the year.

_Uniform_ The Estates Staff are expected to dress practically to suit their role, but also smartly as they will be seen as the school's representatives by parents and the local community.

Employees are expected to wear an approved uniform which will be purchased by the school.

_Medical_ Employees are expected to take reasonable steps to maintain an adequate level of fitness and health throughout the period of employment.

The Employer does not provide private medical insurance cover. Both Hazelwood and Hazelwood Nursery and Early Years are non-smoking sites. See also the Employer's Sickness Policy.
18. _Training_ Staff are expected to co-operate with plans for development professional training, paid for by the school.

Any such requirement will either become clear as a result of the annual appraisal or at the request of the Employee.
