About the role
Due to being a fast paced environment our Engineering team are looking for a Business Support Document Controller.

The Document Controller will be responsible for some of the fundamental admin duties, including filing, answering phone and document processing.

Primary Responsibilities

  • Ensure all work is carried out in accordance with company policies, procedures, standards and work instructions
  • Open and process of all enquiries and jobs
  • General admin duties i.e. typing, data input, filing, scanning, meeting minutes
  • Correspond and communicate professionally with both internal and external clients
  • Update and utilise company systems electronic and paper based
  • Manage telephone calls and enquiries
  • Enter client's required documentation list (SDRL) into Pro-Arc
  • Compile a document master list for each job file (SDS / A01), whilst adhering to document required dates, and final dossier sections / subsections
  • Log all documentation received from vendors
  • Issue documentation received from vendors, either directly to client's DCC or to Score engineer / order owner for review
  • Log all documentation received back from client's DCC
  • Issue documentation received from client's DCC, either directly back to vendor or to Score engineer / order owner for further review
  • Compile final job / project dossier, after all individual documents have been accepted / approved by client
  • Submit final job / project dossier to client's DCC for final approval. (Hard copy & Electronic versions)
  • Archive all approved documentation
  • Any other reasonable duties as required to meet the needs of the business

Department Specific:


  • Processing of internal and external purchase requisition
  • Preparation and submission of invoices
  • Run reports from company systems
  • Generation of status reports to clients
  • Processing of DCC requests as per general duties
  • Internal expediting duties
  • Delivery performance updates
  • Updating of Responsible Department for items allocated to jobs

Qualifications

  • Qualification to SVQ3 in Administration and to minimum National 5 with work experience in a related discipline or Higher qualification or equivalent

Experience

  • Previous experience in an administrator role is essential

Skills and Behaviours

  • Effective communication skills; both written and oral
  • Experienced in using Microsoft packages
  • Good attention to detail
  • Ability to work well as a team member and to take own initiative
