Operations Coordinator - Partnership and Alumni

Location:
Bristol/hybrid - Monday to Friday. Our Bristol offices are newly refurbished, high tech and offer free parking and free electric charging points.

The main purpose of this role is to be responsible for the operational administration of the SJP Alumni forum.


You will ensure all aspects of engagement with members, distribution of updates and planning and implementation of events run smoothly, additionally providing operations support as part of a small team supporting field directors and other projects and initiatives.


What you'll be doing:


  • Owning the Alumni Forum member database being responsible for keeping it up to date, issuing invitations to new members and managing the Alumni Inbox responding to enquiries and delegating actions as appropriate and overseeing the Alumni budget.
  • Working with Marketing and other departments to create engaging content for all Alumni communications, manage the Alumni micro site and organising Alumni events (face to face meetings or webinars), arranging travel and accommodation.
  • Acting as first point of contact and respond to verbal and written queries in a timely and professional manner.
  • Developing and reviewing processes and ways of working to improve efficiency and adapt to business needs.
  • Managing and maintaining relationships with key stakeholders across the Business.
  • Coordinating, preparing and circulating agendas/reports/MI in advance of meetings.

We are looking for someone who has:

  • Strong communication skills, verbal and written
  • ability to build relationships internally and externally and at all levels.
  • Excellent time management, planning and organisational skills, the ability to prioritise and manage a busy workload with a wide variety of tasks and deadlines.
  • Ability to manage a complex diary and to anticipate changes, working at fast pace and with accuracy and meticulous attention to detail.
  • Research and information monitoring skills, ability to take on an hoc projects as required.
