The College of St Barnabas is a beautiful residential care home set in 9 acres in Lingfield Surrey, we are able to provide a home for 50 plus residents.

The College offers a range of care and support services for our residents.

About our Administrator role:


We are looking for an administrator that will ensure a positive first impression is created with all visitors to our care home.


This job description is intended to be a guide to the key areas of accountability and responsibility within your role.

It does not represent a finite list of work you will be expected to carry out, which may vary from time to time depending upon the needs of the College.


Purpose of the Role


We are looking for an experienced administrator, you will be responsible for ensuring that the administration of our home runs as smoothly and effectively as possible, assisting the residents and staff in all aspects of administration duties.


Key Result Areas

  • To provide an effective reception function for the College, including the management of enquiries.
  • Manage and diarize calendars with college functions, events, guests, and visitors. Communicate to the necessary departments of arrangements required.
  • To develop close links with the Residents, providing a friendly, approachable, and helpful service.
  • To produce documentation that is of a high standard, and which reflects the style and ethos of the College and the College Website.

Key Responsibilities

  • To provide an effective reception function for the College, including the management of enquiries.
  • Managing the enquiry process for potential residents from start to finish (new business)
  • Management of all administration tasks, digital and paper based.
  • To support the management team in providing support such as newsletters, posters, and notices
  • Take minutes and produce minuets for meetings.

Skills

  • Experienced in IT, Outlook and Excel Office 365 and Teams

General Responsibilities

  • To deal with telephone enquiries, passing them on to where appropriate, and ensuring those enquiries are dealt with within an agreed timescale.
  • To carry out a variety of College administrative tasks including, but not limited to: photocopying, preparing information folders, filing, ordering stationery, and post.

Confidentiality - all information relating to the College, its staff, residents and business is to be kept in the strictest confidence both during and after employment and cannot be disclosed without the express permission of the Council.

Personal Development- you have a responsibility to ensure you keep up to date with legislation and best practice relevant to your areas of expertise and for identifying areas for development and training that you feel you need, to fulfill your role and the objectives set.

Ambassador role - all employees are ambassadors of the College and are expected to behave in a way that promotes its values and ethos.

Health and Safety - all employees have a statutory responsibility to ensure that neither themselves nor others are put at risk by their actions or failure to act. All employees are required to know and understand their specific responsibilities in respect of Health and Safety.


This job description will be reviewed from time to time and any changes needed will be discussed and agreed with the Post Holder.

£14.74 per hour
