Time 4 Recruitment have an exciting opportunity for a Permanent Site Administrator based in Hereford working at an MOD site on behalf of one of the UK's leading Mechanical and Electrical service providers.
As a
Site Administrator you will be working closely with the MOD Area Manager and be the link with the workforce to ensure smooth delivery and management of the MOD Contract in accordance with company processes.
As
Site Administrator your main focus will be to monitor, manage and control operational delivery across the site ensuring that the workforce, both employed and sub-contracted, are managed to maximise productivity in line with company procedures.
You will ensure and maintain high quality customer service and co-ordination of relevant functions e.g., Safety, planning, commercial and technical etc.
Role requirements:
Key duties
- Checking Vivo Maximo system and issuing job packs to engineer's handheld PDA's.
- Closing out of jobs on Maximo system.
- Uploading certification on to Maximo system.
- Filing
- Sorting of purchase orders and associated paperwork.
- Ordering parts and office supplies.
- Collating any purchase orders that require raising for Out Of Scope works.
- Take phone calls from helpdesk and other incoming calls.
- Contact engineers on site with emergency jobs.
- General typing of quotations, letters etc.
- Typing of invoices for work for other clients. Issuing to client and RDM accounts department.
- Collation of Toolbox Talks and any other pertinent health and safety paperwork along with issuing back to the office.
- Booking in subcontractors and engineers with site security to allow access.
- Arrange access into buildings for engineers and subcontractors.
Key requirements for the role:
As a Site Administrator, you should ideally be able to demonstrate a relevant background in a similar office-based role, and display the following skills and attributes:
- Good communication, interpersonal skills and an attention to detail.
- Pleasant and confident phone manner.
- Excellent written/typed communications and note keeping.
- Excellent organisation skills, ability to manage time effectively, prioritise workloads to aid productivity and work to work to deadlines.
- Ability to work both in a team and independently.
- Ability to maintain confidentiality and exercise discretion.
- Be flexible, honest and respectful.
- Ability to input data into systems.
