JOB TITLE:
Supported Housing Administrator


ACCOUNTABLE TO:
Supported Housing Operations Manager


HOURS:
37.5 hours per week

Job Purpose


To provide administrative and clerical support to the Exeter City Community Trust Housing Team, ensuring efficient coordination of duties, ensuring the delivery of a high-quality service to service users and other stakeholders.


Duties:


To provide a professional front line enquiry and reception service to tenants, visitors and contractors and to deal appropriately with any day-to-day enquiries and complaints or to refer these enquiries to others, as necessary.

To deal with enquiries in a confidential and professional manner.


To provide administrative support in order that estates, properties, tenancies, rent accounts and antisocial behaviour are managed effectively and excellent customer service is provided.


To be aware of the diverse needs of service users and to use resources available to ensure a quality service is delivered.


To assist with site visits when required, assist with correspondence, and undertake customer satisfaction surveys in order to provide excellent customer service.


To provide administration support to all the housing team, including promotion of services available, effective communication, coordination of meetings and training.

To process and handle confidential and sensitive data in relation to vetting and exclusions checks.

Carry out clerical duties including sickness returns, post monitoring, preparation of minutes and statistic collation.

To identify and participate in training courses which are deemed beneficial to the post.

Other responsibilities which fit within the broad remit of the role.

Person Specification

Qualifications:


  • Educated to GCSE standard, English, and Maths essential
  • IT literate (Microsoft Office, Outlook, Excel and PowerPoint).
  • Full UK driving licence desirable
Knowledge

  • Level 2 Business Administration or Customer service level
  • Previous experience of working in an office environment.
  • Understanding of financial procedures, debt management, income collection and payroll processes, along with budget management.
  • Understanding of the complex needs of our customers and an understanding of confidentiality and data protection within a customer focussed environment
  • Health & safety in the workplace.

Skills:


  • IT literate (Microsoft Office, Outlook, Excel and PowerPoint).
  • Attention to detail and an ability to extract key messages.
  • Ability to work sensitively with confidential information
  • Excellent communication skills along with independence, selfmotivation, analytical skills, attention to detail, time management skills and a willing to work under pressure
  • Well organised with good planning skills
  • Strong interpersonal skills including an ability to interact effectively at all levels in the organisation.
  • Able to act as an ambassador for the organisation.
  • Ability to manage high workload and conflicting priorities.

Salary:
£19,800.00 per year
