Description
To provide efficient and effective administration support to the CMHT for
Older People, Home Intervention Team, Single Point of Entry and Older
Peoples Liaison Team.
To undertake the administration of all referrals received into the teams.
Report to the CMHT Team Manager who will provide ongoing support and
guidance.
To manage, supervise and co-ordinate full administrative support for the
above teams.


To deal with difficult telephone queries and give advice wherever possible, in a diplomatic and sensitive way, following these through with the appropriate member of staff, in a responsible and professional manner.

To take messages and redirect calls as appropriate.
Promoting good client care and anti-discriminatory practice. This may involve dealing with clients in a distressed state and or where there are barriers to understanding.
To undertake the comprehensive administration of all referrals received into the Single Point of Entry.
To collate all relevant available information to enable the effective
management of referral received into Single Point of Entry

Using the ESR system monitor negative and positive on Annual Leave and
feed back to relevant Team Managers.
Liaise with clinicians and service users to rearrange clinical visits as
requested.
To work with and support the Team Managers and teams in their day to day work.
Coordinate the Lone Worker Policy on a daily basis ensuring all staff are
accounted for and feedback any issues to the appropriate Team Manager at
5pm each day.
Responsible for the safe use of all equipment ensuring a healthy, safe and
secure working environment and reporting any faults, risk, incidents or
complaints following Trust policies and procedures.

Actively contribute to own personal development by producing a personal development plan with line manager, identifying training needs to continually develop skills and experiences to become an exceptional team member.

To maintain the existing stock control system and ensure supplies are ordered and checked on a regular basis.
Manage and update New Starter Packs for CMHT, HIT and Liaison Teams.
Participate in the Induction of new staff ensuring prompt access to systems
and training.
Organise the CMHT Team Managers Diary including the setting up of Staff
Supervision dates and Team meetings.
Set up the Seminar Room Diary with all regularly meetings that take place
over the year. Book meetings as and when requested.
Arrange CMHT Business meetings including representatives from other
teams within the service. Collate Agenda items, liaise with Guest Speakers,
issue Agenda, attend meeting to transcribe minutes, then type and distribute.
When requested to do so, attend MDT/Safeguarding/Family meetings to
transcribe, type and distribute minutes.

Attend and contribute to quarterly Service Administration meetings, enabling the bringing together and discussing best practices from across all areas of the service.

In collaboration with Band 6 lead, produce monthly Duty Rota's - to be
planned 8 weeks in advance taking into account staff working patterns,
holidays and training.
Control and maintenance of Community Health Records including archiving and culling in accordance with the Trust's Records Management Policy.
Ensure all details are recorded correctly on the CMHT Master Spreadsheet.
Engage and participate in the introduction of new technology and of new
methods of working via process mapping or other means within the changing requirements of the service and the Trust.
To work to and understand boundaries within the service and work within service and Trust confidentiality policy and procedures.

To safeguard, at all times, privacy of information relating to both patients and staff alike, ensuring that an efficient, courteous service is offered to all service users and that confidentiality is strictly maintained.

To comply with all Trust policies and procedures and ensure full compliance
and high standards are maintained.

Management Responsibilities
To manage, coordinate and supervise the workload of the Administrative
Team.

administration staff as appropriate.
