We are looking for a Programme Coordinator to join our team.

Where in Wellcome will I be working?

You will be working as part of the Strategy & Programme Office team, reporting to a Programme Manager


This role is part of the Strategy & Programme Office (S&PO) team that ensures that project management is used in a consistent way across the organisation.

The role will work closely with our Programme Managers to ensure that systems and processes are applied effectively to maximise the success of Wellcome's

strategy

What will I be doing?

You will provide administrative support to programme management staff to ensure the programme office is running efficiently.

As a Programme Coordinator, you will:

  • Prepare documents for the Senior Programme Managers and Programme Managers that include correspondence, minutes and briefings, as well as presentations and reports. Assist with data gathering for the relevant reports (i.e. progress reports, compliance reports and Programme Board reports)
  • Coordinate diaries and organise meeting across the programme office with internal and external stakeholders and this includes helping with forward planning across other teams at Wellcome (e.g, finance and legal teams) aligned with the team's planning cycle
  • Be involved with writing programme office policies and procedures related to the Programme management, ensuring they are consistent and aligned with Wellcome's wider policies
  • Work with the programme manager ensuing the right controls are applied as well as completing regular quality assurance checks across project documents, risk registers and escalate those where appropriate
  • Contribute to a diverse and inclusive culture across the organisation, collaborating across departments.

  • Has experience of working across teams and provide project and administrative support as well as being familiar with project management methodologies and practices
  • Knows the importance of stakeholder management as well as experience in establish good relationships across a diverse range of people
  • Can multitask and manage a varied workload with multiple activities and competing priorities
  • Has a high develop communication skills, to clearly communicate complex information and process as well as being able to present information at a high standard with the ability to synthesise information, cover key points concisely and clearly
